Project Coordinator - Tenant Improvements/RetirementPosition OverviewThe Project Coordinator supports Project Managers across estimating, construction, and closeout, helping ensure projects are delivered safely, efficiently, on schedule, within budget, and to VPAC's quality standards.
Key Responsibilities- Assist with estimating, scopes of work, budgets, preliminary schedules, tenders, and proposals.
- Set up projects, budgets, contracts, purchase orders, and project filing systems.
- Coordinate drawings, specifications, shop drawings, RFIs, submittals, change orders, site instructions, and consultant documentation.
- Monitor project schedules, budgets, costs, subcontractors, suppliers, and construction progress.
- Attend client, consultant, and trade meetings; prepare minutes and weekly client updates.
- Conduct field inspections and help ensure compliance with contract documents, safety requirements, and WorkSafeBC regulations.
- Assist with progress claims, subcontractor invoices, change orders, cost tracking, and monthly project reporting.
- Maintain current construction drawings and project documentation.
- Coordinate Notices of Project, Certificates of Occupancy, Substantial Completion, and project closeout.
- Support warranty and post-construction issues.
- Communicate effectively with clients, consultants, trades, civic officials, and internal teams.
- Escalate major disputes and project issues to Senior Management.
Qualifications- 2+ years of construction project coordination experience, preferably in tenant improvements.
- Strong organizational, communication, and problem-solving skills.
- Proficiency with Procore and Microsoft Office.
- Familiarity with construction contracts, change orders, scheduling, and project documentation.
- Knowledge of WorkSafeBC requirements.
- Smartsheet experience is an asset.

Compensation
$75,000.00 - $95,000.00 per year
