Project Coordinator  JLL/ Construction

What this job involves:

The Project Coordinator plays a vital role in supporting JLL's Construction Project Management team by ensuring seamless project execution across multiple initiatives. This position serves as the organizational backbone of our project delivery operations, managing critical documentation, financial tracking, and stakeholder communications that keep complex construction projects running smoothly. As a Project Coordinator, you'll work directly with Construction Project Managers and cross-functional teams to maintain project integrity from initiation through closeout, contributing directly to JLL's reputation for operational excellence. What your day-to-day will look like:

  • Establish and maintain project documentation systems by setting up folders on shared drives, uploading project documents, and ensuring all audit-required documentation is properly filed in Workspace and centralized locations
  • Support financial management activities including assembling PDF project quotes, maintaining invoice and change order trackers, setting up budgets from GC bids/Schedules of Values, and working on financial reconciliation to research late and final payments to vendors
  • Generate and distribute critical project communications by preparing stakeholder reports, region reports, project reports from Workspace, and meeting minutes for distribution to project teams and leadership
  • Coordinate procurement activities by assisting with shopping cart management, purchase order creation, and collecting and filing lien waivers to maintain compliance
  • Maintain data accuracy across project systems by verifying and updating tabs in Workspace, adding comments as requested, and ensuring write-offs are completed in a timely manner
  • Provide responsive administrative support to multiple Construction Project Managers, handling ad hoc requests with flexibility and managing competing priorities across various project types
  • Act as an agile problem solver by quickly comprehending project needs, analyzing documentation requirements, and interpreting documents to support seamless project delivery

Required Qualifications:

  • Excellent written and verbal communication skills with the ability to prepare clear, professional documentation and effectively communicate with diverse stakeholders
  • Strong organizational skills with demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously without compromising quality or accuracy
  • Proven analytical skills and attention to detail, particularly in managing financial data, tracking invoices, and maintaining complex documentation systems
  • Ability to provide efficient, timely, reliable, and courteous service while working collaboratively with Construction Project Managers and cross-functional teams
  • Agile problem-solving capabilities with the ability to comprehend, analyze, and interpret various project documents and quickly adapt to changing project requirements.
  • Valid Drivers license

Preferred Qualifications:

  • Bachelor's Degree (BA/BS) in Business Administration, Construction Management, or related field
  • Previous experience in construction, project coordination, or administrative support roles within the real estate or construction industry
  • Familiarity with construction terminology, procurement processes, and project documentation requirements
  • Experience working with project management systems, shared drive platforms, and construction financial tracking tools
  • Knowledge of lien waiver processes, change order management, and construction budgeting fundamentals
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe PDF tools
  • Ability to quickly learn new software platforms and adapt to evolving project management technologies

Estimated compensation for this position:

66,400.00 – 96,200.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
