Full Job Description
The Role

We are seeking a highly organized and detail-oriented Professional Services Operations Coordinator to support the successful delivery of Professional Services engagements. This role partners cross-functionally to coordinate operational workflows, maintain project systems, prepare operational reporting, and support consistent execution of service delivery processes across the organization. The successful applicant will be someone who excels at maintaining order, enjoys ensuring team efficiency, and is dedicated to managing precise operational processes and data.

Responsibilities

  • Collaboration on Cross-Functional Delivery: Coordinate with departments including Sales, Implementation, Finance, and RevOps to manage operational tasks that support project success, such as routing projects, provisioning, and customer transition management.
  • Sales-to-Implementation Readiness: Manage the handover of customers from the sales team to the delivery phase, ensuring all contractual obligations and deliverables are compliant before the project starts.
  • Implementation-to-Success Handovers: Ensure a complete and consistent handover of implementation projects to Customer Success, including an audit of the implementation consultant's project closeout activities.
  • Management of Operational Systems: Oversee the administration of Professional Services tools, such as Toggl and Asana, ensuring precise data entry and process compliance through project provisioning, template upkeep, user permissions management, and the systematic archiving of finished work.
  • Operational Reporting: Prepare recurring operational reports and dashboards for Professional Services leadership, supporting visibility into delivery performance, capacity, utilization, backlog, and project health.
  • Operational Standards & Documentation: Maintain process documentation, standard operating procedures, and operational playbooks to support consistent execution across the Professional Services organization.
  • Financial Operations Support: Support Professional Services operations by maintaining metrics tracking and KPI reporting.
  • Operational Automation & Tool Support: Utilize AI-enabled tools, workflow automations, and platform integrations to improve efficiency, reduce manual effort, and support accurate operational data.
  • Data Quality Management: Audit operational data, project documentation, and delivery readiness across systems, coordinating timely corrections with appropriate stakeholders to maintain accurate project information and compliance with established standards.


Qualifications

  • 3-5 years of experience in Professional Services Operations, Delivery Operations, Project Coordination, or a similar operational support role within a SaaS or technology organization.
  • Expertise in managing and utilizing CRM and Project Management software, particularly Salesforce, Toggl, Asana, and any PSA systems.
  • Proficiency in Google Sheets or Excel, including maintaining capacity trackers, SLA reporting, and operational reporting.
  • Self-starter capable of managing routine operational tasks with high autonomy, ensuring rigorous data integrity and meeting all deadlines.
  • Exceptional communication and interpersonal abilities to engage with various stakeholders and uphold data compliance standards across the organization.
  • Demonstrated ability to coordinate multiple cross-functional initiatives simultaneously while maintaining strong attention to detail and operational discipline.
  • Experience preparing operational reports and maintaining data used to support leadership decision-making.


$78,026 - $98,000 a year

The pay range for this position takes into account multiple factors that are all considered to determine an individual candidate's starting pay. These factors include but are not limited to: market factors, experience, technical and non-technical skills, education, certifications, and other business acumen. This range does not include any potential incentive programs, such as individual or organizational performance bonuses.
