Full Job Description
The Role

We are looking for a Procurement Operations Manager to drive the day-to-day execution of procurement activities across equipment, materials, contractors, and other service providers. This role will be responsible for running RFQs and RFPs, coordinating supplier follow-up, managing purchase order execution, tracking commitments and deliveries, supporting logistics and invoice resolution, maintaining procurement documentation and systems, and ensuring open actions are driven to closure. This is a great role for someone highly organized, detail-oriented, proactive, and comfortable operating in a fast-paced business.

You will work under the direction of, and report to, the Director of Procurement and work a hybrid schedule in our Ridgewood, NJ headquarters.

Key responsibilities will include:
  • Coordinate with Scale's engineering and project delivery teams to translate approved technical and project requirements into executable procurement activities for equipment and other components, including battery energy storage, solar PV, generators and generator components, inverters, switchgear, and other balance of system components
  • Partner with project delivery and asset management teams to support project and O&M purchasing requirements through a defined requisition and procurement process
  • Run RFQs and RFPs, coordinate supplier questions and clarifications, organize bids, and prepare commercial bid leveling and recommendations for review
  • Support supplier negotiations and execute purchases under approved commercial strategies, framework agreements, MSAs, and standard terms
  • Own purchase order execution and follow-through, including vendor acknowledgements, open commitments, required documentation, delivery dates, and escalation of schedule or supply risks
  • Coordinate logistics and material movements with suppliers, project teams, warehouses, and logistics providers, and maintain clear delivery status
  • Drive cross-functional follow-up to resolve procurement-related issues, including PO and invoice discrepancies, vendor actions, delivery issues, and documentation gaps
  • Maintain procurement trackers, systems, records, and reporting; collect and organize required supplier documentation, including Safe Harbor, ITC, domestic content, and other compliance documentation; and identify opportunities to improve procurement process efficiency and effectiveness


The Ideal Candidate
  • 3+ years of procurement, purchasing, supply chain operations, project coordination, or related experience
  • Experience managing RFQs/RFPs, purchase orders, vendor follow-up, logistics, or other procurement execution activities
  • Strong organizational skills with demonstrated ability to manage multiple priorities, details, deadlines, and open actions without losing follow-through
  • Comfortable communicating with suppliers and internal stakeholders and escalating issues when needed
  • Excellent problem-solving skills with a strong sense of ownership, urgency, and accountability
  • Ability to work effectively with diverse stakeholders, including engineering, project delivery, asset management, accounting, legal, and logistics
  • Experience with ERP, purchasing, procurement, or project-management systems helpful
  • Experience supporting equipment- or project-based procurement is a plus
  • Experience with distributed energy resources a plus
