Soltage - Procurement Manager

Position Description:

The Procurement Manager is a key member of the Project Management team who will own end-to-end equipment and materials procurement across Soltage's entire project portfolio, from early-stage long-lead identification through purchase order execution, vendor management, physical inventory custody and site dispatch. The Procurement Manager is a central point of coordination between Development, Engineering, Project Management, and Finance on all third-party supply decisions and company-owned equipment movements.This role will be a key architect of Soltage's procurement and inventory process as the company continues to scale.

Job Responsibilities:

Long-Lead Equipment Procurement:

  • Own the long-lead procurement schedule for all active and near-term projects.
  • Manage procurement of PV modules, inverters, transformers, BESS systems, switchgear, and balance-of-plant materials.
  • Coordinate with Engineering and Project Management to identify long-lead items at FNTP and initiate procurement.
  • Track all open purchase orders from issuance through delivery and acceptance; escalate any delivery risk to SVP.
  • Maintain portfolio-level PO records including but not limited to open orders by project, vendor, delivery date, and status.


Vendor Management & RFQ Process:

  • Manage Soltage's approved vendor list for key equipment categories; evaluate new vendors against cost, quality, and lead time criteria.
  • Run competitive RFQ/RFP processes for equipment and materials where multiple qualified suppliers exist.
  • Maintain price benchmarks by equipment type and market; flag deviations from benchmarks to SVP before PO execution.
  • Build and maintain vendor scorecards tracking delivery performance, defect rates, and warranty claim history.
  • Negotiate pricing, payment terms, and warranty provisions on equipment supply agreements; escalate to legal on non-standard terms.


Inventory Management & Logistics Management:

  • Own and maintain the master inventory ledger for all Soltage-owned equipment and materials across all storage locations nationwide (modules, transformers, BESS units, switchgear, and other owner-furnished items).
  • Conduct or coordinate regular physical inventory counts. Reconcile physical counts against the ledger, resolve discrepancies with Finance and Portfolio Management[MD1] .
  • Assign inventory to projects in coordination with the construction schedule; ensure equipment is released from storage and dispatched to site in alignment with EPC mobilization timelines and NTP windows.
  • Manage logistics from storage locations to project sites, including transportation vendor selection, freight coordination, and chain-of-custody documentation.
  • Track equipment condition at receipt and throughout storage; flag any damage, storage risk, or warranty claim to SVP and Engineering.
  • Maintain a real-time inventory dashboard showing total units on hand, allocated vs. unallocated inventory by equipment type, location, and project assignment.
  • Coordinate with Project Management and Finance to ensure inventory movements are reflected accurately in project cost tracking and draw certifications.


Safe Harbor & Compliance Procurement:

  • Support annual Safe Harbor module and transformer procurement programs, coordinating with Legal and Portfolio Management on contract execution and payment schedules.
  • Track Safe Harbor inventory allocation (covered projects, designated equipment and delivery scheduling against contracted delivery requirements) in close coordination with the inventory ledger.
  • Ensure procurement and inventory records satisfy compliance and tax documentation requirements as needed.


Contract & Cost Management:

  • Prepare and execute purchase orders and equipment supply agreements.
  • Track equipment costs against project budgets and approved amounts, flag any scope changes or price escalation as necessary .
  • Coordinate approvals for equipment procurement on financed projects, ensure all draw conditions related to equipment delivery are satisfied
  • Support preparation of the procurement and inventory sections of reporting packages.
  • Manage the implementation of a procurement module, including SOP development and data migration from existing tracking systems.


Experience and Education Requirements:

  • Minimum of 5 to 7 years of procurement, supply chain, or project controls experience in solar, energy storage, or construction.
  • Background in contract administration or legal coordination on equipment supply agreements is preferred.
  • Experience in distributed generation or C&I solar at an IPP, developer, or EPC firm is a plus.
  • Direct experience procuring major equipment categories: PV modules, inverters, BESS, transformers, or comparable capital equipment
  • Demonstrated experience managing physical inventory across multiple locations - maintaining ledgers, conducting reconciliations, and coordinating logistics.
  • Experience coordinating equipment dispatch and logistics to active construction sites.
  • Ability to manage competitive RFQ/RFP processes from solicitation through award.
  • Familiarity with construction project delivery (EPC, design-build, or owner-furnished equipment models).
  • Familiarity with ITC Safe Harbor requirements.
  • Experience supporting lender draw processes or owner's representative functions on capital-intensive projects.
  • Proficiency with procurement and inventory tracking in Excel; experience with Salesforce, Procore, or ERP systems a plus.
  • Strong written and verbal communication.
  • Ability to interface with EPC contractors, equipment vendors, logistics providers, lenders, and internal leadership.

This is a full-time, hybrid position based out of Soltage's headquarters in Jersey City, New Jersey.
