Job Overview:
The Practice Manager is responsible for leading the day-to-day operations of Jersey City Medical Center's Vascular Center, ensuring exceptional patient care, operational excellence, and outstanding experience for both patients and staff. This role provides leadership for clinical and administrative team members while partnering closely with physicians and hospital leadership to optimize workflows, improve patient access, maintain financial accountability, and support strategic initiatives. The ideal candidate is a collaborative healthcare leader with strong operational, financial, and people management skills who thrive in a fast-paced ambulatory environment.

Qualifications:

Required:
  • High School Diploma or equivalent
  • Minimum of two (2) years of supervisory or management experience in a medical office, physician practice, or ambulatory healthcare setting
  • Demonstrated experience leading teams, coaching staff, and driving employee performance
  • Thorough knowledge of medical terminology, including ICD-10 and CPT coding
  • Knowledge of medical office operations, scheduling workflows, patient registration, billing, and revenue cycle processes
  • Proficiency in Microsoft Office Suite
  • Strong organizational, communication, interpersonal, and problem-solving skills
  • Ability to prioritize multiple responsibilities while maintaining a high level of customer service and operational efficiency

Preferred:
  • Bachelor's degree in Healthcare Administration, Business Administration, or a related field
  • Experience with physician practice management, ambulatory operations, or revenue cycle management
  • Bilingual in English/Spanish
  • Experience working within an electronic medical record (EMR/EHR) system

Essential Functions:
  • Oversees the daily operations of the Vascular Center to ensure efficient workflows, exceptional patient service, and operational excellence
  • Provides direct leadership, coaching, mentoring, onboarding, and performance management for clinical and administrative staff
  • Develops staff schedules and coordinates daily staffing to support patient volume and operational needs
  • Oversees patient scheduling processes, monitors patient flow, and proactively resolves operational issues that impact patient access and satisfaction
  • Partners with physicians and interdisciplinary teams to promote collaboration, communication, and high-quality patient care
  • Manages charge entry, billing processes, daily reconciliation of patient charges, and resolution of work queues to support revenue cycle performance
  • Oversees office purchasing activities, inventory management, vendor coordination, contracts, and invoice processing to ensure uninterrupted operations
  • Reviews departmental policies and workflows, identifies opportunities for improvement, and implements process enhancements that improve efficiency and patient experience
  • Assists in preparing the department for regulatory surveys and accreditation activities, including DNV readiness and compliance
  • Ensures compliance with hospital policies, departmental procedures, regulatory requirements, and quality standards
  • Fosters a positive, respectful, and collaborative work environment that supports employee engagement, accountability, and continuous improvement
  • Participates in departmental and organizational meetings, committees, and special projects as assigned
  • Performs other duties as assigned
