Hours: 37.5 hours per week
Shifts: Monday - Friday
Status: Temporary Full-time (until December 2027)

Position Summary
As an integral member of the People & Culture team at University Health Network, the Employee Records & Payroll department is a fast-paced department with 21 employees under the leadership of a Manager and a Supervisor, with close ties to Finance. The Employee Records & Payroll Department oversees significant employee records for approximately 20,000 employees of which half are unionized.

This role reports directly to the Supervisor and will be representing People and Culture on a regular basis as a day to day contact for managers and employees of the organization. The Payroll Administrator is responsible for confidential, accurate record keeping in the Human Resources Information System (HRIS) for multiple client groups within UHN.

Duties
  • Ensure timely and accurate processing of payroll transactions such as maternity top-up, additional pay, stipends, and other payouts.
  • Handle all employee related inquiries with professionalism and efficiency.
  • Investigate and respond to Payroll queries regarding pay stub information and annual T4's.
  • Investigate, validate and collaborate with team members to process corrections for payroll and adjustments as needed.
  • Prepare and validate for accuracy and issue Record of Employments as needed.
  • Support the onboarding process for new Hires.
  • Support and process the payroll run on a bi-weekly basis as well as off cycle runs.
  • Assist with year-end reconciliations and provide insight on transactions, and/or adjustments.
  • Verify and audit the processing of all employment related transactions, such as hires, salary changes, transfers, promotions, termination, severances, leave of absence, retirements for both temporary and permanent employees.
  • Ensure documentation is complete and in compliance with UHN internal policies and collective agreements. Follow up with employees, management and People & Culture staff as required to obtain missing information or clarification with respect to request.
  • Provide support and advice to managers and administrative support staff regarding payroll, benefits, eligibilities, entitlements, People & Culture policies, collective agreements etc.
  • Respond to enquiries and/or requests from UHN employees and management, on the employee helpline and via emails.
  • Assists with quarterly, and year-end external and internal audit processes.
  • Provides support to Team with work load when required.
  • Ensure transactions are authorized, supported, and compliant with company policies, collective agreements, and legislation.
  • Review payroll results, identify discrepancies, and resolve issues before payroll is finalized.
  • Process overpayments, underpayments, retroactive adjustments, recoveries, and other corrections.
  • Coordinate termination payments, including vacation pay, statutory entitlements, and required deductions.
  • Other duties and responsibilities as assigned.


Qualifications
  • National Payroll Institute Designation (PCP).
  • A minimum of two years Payroll Administration experience.
  • Apply tools such as VLOOKUP/XLOOKUP, PivotTables, SUMIFS, IF formulas, filtering, sorting, and data reconciliation.
  • Solid understanding of Employment Standards Act (ESA) regulations.
  • Proficiency in Microsoft Office applications, including Outlook, Excel and Word.
  • Working knowledge of union collective agreements.
  • Working experience with HRIS is mandatory; experience using VIP HRIS is an asset.
  • Experience with in-house payroll administration.
  • Experience working in a health care environment is an asset.
  • Excellent interpersonal, customer service, verbal and written communication skills required.
  • Analytical Skills and Thinking is a requirement.
  • Demonstrated organization and ability to prioritize time and workload.
  • Ability to effectively handle and maintain confidential information/materials required.
