Acting as a central point of coordination, this position works closely with business, operational, technical, training, reporting, and support teams to maintain momentum and drive follow-through. The role helps ensure stakeholders understand priorities, commitments, timelines, escalation paths, and decisions needed so work continues to advance in a disciplined and transparent way. This position is designed for a highly organized, persistent, and detail-oriented project professional who can influence without direct authority, constructively challenge missed commitments, communicate clearly with leaders and stakeholders, and help strengthen project execution discipline across the organization.

Core Competencies
  • Project Leadership & Kickoff Execution - Leads project initiation activities including project charters, scope definition, stakeholder identification, kickoff facilitation, operating cadence, governance structure, and success criteria.
  • Delivery Assurance & Project Control - Maintains disciplined oversight of project plans, milestones, dependencies, action items, workstream deliverables, and implementation readiness to ensure progress against approved objectives.

Essential Duties & Responsibilities
  • Lead project kickoff and planning activities, including scope definition, stakeholder alignment, success measures, governance approach, and project operating rhythm.
  • Develop and maintain project plans, milestone schedules, action trackers, RAID logs, decision logs, and related governance documentation.
  • Coordinate cross-functional execution across business, operational, technical, training, reporting, and support teams to keep work moving forward.
  • Facilitate project meetings, prepare agendas, document outcomes, confirm decisions, and follow up on action items through completion.
  • Monitor progress against commitments, identify risks, blockers, dependencies, missed deadlines, and ownership gaps, and escalate when needed.
  • Hold project participants accountable for deliverables, due dates, next steps, and issue resolution through structured follow-up and transparent reporting.
  • Prepare concise executive updates that communicate project health, accomplishments, risks, decisions needed, upcoming milestones, and recommended actions.
  • Support governance reviews, steering discussions, and portfolio-level updates by ensuring project information is accurate, current, and decision-ready.
  • Track readiness activities, including communications, documentation, training, adoption metrics, go-live criteria, and post-implementation follow-up.

Qualifications

Required
  • Bachelor's degree in Business, Healthcare Administration, Operations Management, Project Management, Information Systems, or related field, or equivalent combination of education and experience.
  • Three (3) or more years of experience in project management, project coordination, implementation support, business operations, PMO support, process improvement, or delivery governance.
  • Three (3) or more years of experience supporting healthcare operations, revenue cycle management, order management, payer setup, patient experience, workers' compensation, or medical device operations.
  • Demonstrated experience leading project kickoff activities, building project plans, managing cross-functional meetings, documenting decisions, and driving action-item follow-through.
  • Demonstrated experience managing project plans, action trackers, RAID logs, decision logs, status reporting, meeting follow-up, and cross-functional deliverables.
  • Strong written and verbal communication skills with the ability to produce clear, concise, leadership-ready updates.
  • Demonstrated ability to drive follow-through, manage competing priorities, constructively challenge stakeholders, and influence without direct authority.
  • High attention to detail, strong organizational discipline, and comfort identifying gaps, risks, ownership issues, stalled decisions, and missed commitments.
  • Proficiency with Microsoft 365 collaboration tools such as Teams, Planner, SharePoint, Outlook, Excel, PowerPoint, and related reporting or tracking tools.

Preferred
  • Familiarity with Lean, Six Sigma, DMAIC, SIPOC, RACI, RAID management, governance charters, change control, or operational excellence methods.
  • Experience facilitating project kickoffs, governance reviews, steering updates, post-implementation reviews, and lessons-learned sessions.
  • Experience developing executive dashboards, KPI scorecards, project status reports, Power BI reports, Power Apps, or other operational reporting tools.
  • Experience supporting system implementations, workflow redesign, process documentation, SOP development, training coordination, or adoption tracking.
  • Project management certification such as PMP, CAPM, PMI-ACP, Lean Six Sigma, or equivalent practical experience preferred but not required.
