Job Description

Assist in the bi-weekly processing of multi-state payroll for 1,600 + employees. Work with managers and employees to resolve payroll issues. Administer the time and attendance module. Maintain payroll filing system. Support Payroll Administrator and full cycle payroll processing. Maintain the payroll related General Ledger accounts and business transactions of the organization by applying Generally Accepted Accounting Principles (GAAP), including analytical work and thorough review of payroll related financial records. Prepare financial reports for tax reporting purposes and internal purposes. Responsibilities also include reconciling payroll related GL accounts, analyzing past costs, and obligations incurred to predict current and future payroll related expenses.

Essential Responsibilities Include, but Not Limited To:

  • Accurate and timely processing of bi-weekly payroll, using ADP products (Time and Attendance, Workforce Now)
  • Administer the time keeping system. Set up employees, validate adherence to FLSA, monitor submission of approved timesheets, and ensure valid data transfers to/from payroll system
  • Process employee maintenance, including new hires, terminations, rate changes, labor security group changes, incentives, direct deposits, reimbursements, etc.
  • Calculate wage and overtime pay, calculate and record payroll deductions, calculate retro payments, process payroll corrections, process requests for payroll advances and final checks
  • Handle various payroll inquiries from internal parties
  • Distribute payroll reporting to various internal business stakeholders.
  • Prepare mailing of physical live checks and paper paystubs each pay cycle
  • Prepare and file payroll related government reporting
  • Maintain secure and confidential payroll system and files, exercise a high degree of discretion and integrity when dealing with sensitive payroll information
  • Perform general ledger accounts analysis and reconciliations of payroll related GL accounts. Prepare schedules, invoices, explanations of supporting materials and procedures, and prepare any other necessary data
  • Process payroll related accounting entries and accruals
  • Determine GL coding for ADP fees for services invoices
  • Process employee loans including re-payment entries
  • Establish and maintain positive working relationships with employees, third party vendors, and team members
  • Stay current on all payroll regulations and requirements related to multi-state payroll processing and initiate new procedures to maintain compliance
  • Maintain SOPs for various job duties and create new SOPs as necessary
  • Take a leadership role in developing or proposing changes to payroll procedures to improve accuracy and efficiencies by evaluating process flow, proposing new procedures, assist in management education and training
  • Peripheral Duties:
  • Special projects /duties assigned by the accounting manager


Qualifications
  • Must be able to maintain a high degree of confidentiality
  • BA/BS Degree in Accounting, Finance, or related major
  • Previous payroll processing experience
  • At least two-years' experience in a payroll/finance/accounting role
  • High attention to detail
  • Intermediate knowledge of ADP payroll processing and Workforce Now
  • Excellent communication and interpersonal skills
  • Ability to juggle multiple projects while maintaining accuracy and deadlines
  • Ability to work independently as well as part of a team
  • Strong sense of self-motivation
  • Excellent analytical, organizational, and problem-solving skills
  • Knowledge of commonly used concepts, practices, and procedures within the accounting cycle
  • Previous Microsoft Office experience with intermediate skill level in Excel and Word
  • Previous Great Plains experience a plus
  • Payroll certification a plus
