Job Summary

The Paralegal position provides support to the Legal Department in licensing, corporate governance, contracts, and legal operations, including maintaining records, managing filings, and tracking legal matters.

Essential Functions and Responsibilities

Licensing & Permitting
  • Manage business licenses, permits, regulatory filings across multiple jurisdictions, including registrations, renewals, applications, inspections, reporting obligations, and compliance deadlines.
  • Coordinate with regulatory agencies, municipalities, outside consultants, and internal teams to resolve compliance issues and ensure timely completion of required actions.
  • Maintain centralized tracking systems, databases, and permitting activities.

Corporate Governance & Entity Management
  • Maintain corporate records, minute books, organizational documents, governance databases, and related records.
  • Prepare and file annual reports, entity registrations, foreign qualifications, and other required state filings across multiple jurisdictions.
  • Draft resolutions and support board and shareholder documentation.

Transactions & Legal Operations
  • Manage legal, , matter tracking, compliance calendar management, and invoice processing.
  • Serve as the primary contact between the Legal Department and internal business partners to coordinate contract review and execution, manage documentation requests, and ensure consistent, timely follow-through on open legal matters.
  • Maintain the company contracts database, including tracking contract status, approvals, amendments, and renewals; proactively identify and flag upcoming expirations, notice periods, and critical deadlines.
  • Maintain organized files for property, leases, agreements, and transactions across document management systems, ensuring records, templates, and legal documents remain accessible and properly versioned.
  • Support transactional due diligence, including assisting in managing data rooms, analyzing documents, and preparing and organizing deal documentations for attorney review.
  • Conduct legal research and preparation of summaries, correspondence, and reports.
  • Identify and support opportunities to improve legal workflows, processes, and recordkeeping.
  • Perform other duties and special projects as assigned.

Required Skills and Expectations
  • Bachelor's degree or paralegal certification required, with a minimum of 3 years of experience in an in-house legal department or law firm.
  • Experience in corporate governance, contract administration, and transactional support
  • Experience working with outside counsel, regulatory agencies, and cross-functional business partners.

Job Environment

This is a full-time, onsite position based in Lawrence, MA. The role operates in a professional office environment within a corporate legal department.
  • Monday-Friday schedule, 40 hours per week. This is a primarily onsite role with flexibility for limited remote work.
  • Primarily sedentary role involving extended periods of sitting and computer use
  • Frequent use of hands and fingers for typing, data entry, and document management
  • Visual acuity required to read and analyze detailed documents, including contracts, regulatory filings and fine print on a consistent basis.
  • Occasional standing, walking, and movement within the office
  • Frequent collaboration with internal departments, outside counsel, and regulatory agencies
  • Ability to communicate effectively verbally and in writing.
  • May occasionally lift or move up to 15 pounds


Compensation:

Salary is based on a range of factors that include relevant experience, knowledge, skills, and other job-related qualifications. For the purpose of this role, the salary opportunity is:

PAY - $80,000 to $105,000 annually.
