Full Job Description
The Need 

For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking an Operations Manager, Strategy & Integration to support the planning, coordination, and execution of strategic initiatives led by the Chief of Staff to the CEO, support the communications cascade of the Enterprise Strategy, and support process excellence across the Enterprise Strategy and Enterprise Portfolio Management departments. 

 

This position is hybrid (onsite Tuesdays & Thursdays) if located in the Washington, DC area or remote for non-local candidates and reports to Chief of Staff to the CEO. This role requires current authorization to work in the United States. Visa sponsorship is not available for this position, now or in the future. 

 

Responsibilities: 
  • Support the planning, coordination, and execution of strategic initiatives led or sponsored by the Chief of Staff, including management of GLT related work; 
  • Develop and maintain project plans, timelines, risk reviews, mapping dependencies, and tracking milestones for priority initiatives; 
  • Support agenda creation, preparation, and follow up from meetings, working sessions, and decision forums; 
  • Prepare concise project status updates, briefing materials, and executive summaries for leadership audiences; 
  • Lead implementation planning, change management, and adoption activities associated with major initiatives; 
  • Draft, coordinate, and distribute communications owned by the Enterprise Strategy & Integration team, including strategy updates, enterprise planning communications, and enterprise calendar communications; 
  • Support development of executive presentations, reports, memos, and briefing materials for the CEO, Global Leadership Team, and Board; 
  • Maintain team knowledge management systems, shared repositories, templates, and communication channels; 
  • Support continuous improvement of team communication practices and information flows; 
  • Document, maintain, and improve enterprise planning and portfolio management processes; 
  • Partner with the Director of Strategic Planning and Director of Portfolio Enablement to maintain core frameworks, templates, and governing documents; 
  • Support process reviews, lessons learned, and continuous improvement efforts; 
  • Prepare agendas, meeting materials, and pre-read packages; 
  • Capture decisions, action items, and commitments and track follow-through to completion; 
  • Support scheduling, coordination, and administrative activities required to enable the Chief of Staff's effectiveness; 
  • Support cross-functional coordination across enterprise stakeholders, leadership teams, and strategic initiative owners;  
  • Handle confidential and sensitive information with sound judgment and discretion; 
  • Coordinate travel arrangements, expense processing, and other administrative support as needed; and 
  • Participation in IJM’s community of spiritual formation. 

 

Qualifications: 
  • 5-8 years of relevant experience in operations, project management, strategy execution, program management, organizational effectiveness, communications, or executive office support; 
  • Bachelor’s degree in a related field preferred; 
  • Experience supporting complex, cross-functional initiatives in a matrixed organization; 
  • Demonstrated ability to improve processes, establish structure, and manage multiple priorities simultaneously; 
  • Experience supporting senior leaders, executive offices, project management offices, or strategy functions preferred; 
  • Experience in a global nonprofit, consulting, international development, or mission-driven organization preferred; 
  • Project management and execution planning; 
  • Strong proficiency with Microsoft PowerPoint, Excel, Word, Teams, and SharePoint; 
  • Experience with Asana, Smartsheet, Monday.com, or similar project management platforms; 
  • Process mapping, documentation, and workflow improvement; 
  • Executive presentation development and written communications; 
  • Dashboard creation, reporting, and progress tracking; 
  • Knowledge management and document governance; and 
  • Meeting coordination and stakeholder management.
