Full Job Description
The Operations Coordinator will manage the front desk, greeting and welcoming all visitors, vendors, and candidates as they arrive to our headquarters site. Additionally, this colleague will partner closely with the broader Project Administrative Coordinator (PAC) team in support of Denali leaders, employees and Company activities, as well as with the Facilities/Environmental Health and Safety Team. The Operations Coordinator will also support designated senior leaders with calendar management, meeting organization, travel logistics and expense management.
Key Accountabilities/Core Job Responsibilities:
- Coordinate activities for assigned Denali Leaders including calendar management, coordination of travel arrangements and associated logistics, planning and organizing meetings, and coordinating all logistics.
- Partner closely with the broader PAC and HR Operations Team to coordinate onboarding and offboarding activities for both employees and contractors.
- Support multiple projects simultaneously, including event planning and execution; anticipate and track dates and associated action items, following up with appropriate parties to ensure deadlines are met.
- Serve as the lead Administrator for the building access system, creating, distributing, and tracking badge access.
- Manage the lobby front desk, welcoming all visitors, vendors, and candidates to our headquarters site.
- Manage correspondence (e-mail, letters, packages, etc.) by handling and distributing incoming/outgoing mail, including scanning/emailing mail to recipients who are out of the office/remote, when necessary.
- Answer incoming calls and direct them appropriately or initiate a triage slip for response.
- Manage and order weekly food and office supplies, including financial data entry and expense tracking, as well as promptly provide vendor receipts and invoices to the accounting team.
- Maintain accurate and timely recording of work time by clocking in and out using designated timekeeping systems. Adherence to company timekeeping policies, including rules regarding overtime, meal breaks, and reporting procedures for any discrepancies.
Qualifications/Skills:
- Typically requires a high school diploma or equivalent and 2+ years of administrative support experience; bachelor’s degree preferred
- Advanced computer skills and demonstrated experience with office software
- Excellent verbal and written communication skills, including editing and proofreading
- Excellent planning and organizational skills
- Ability to take initiative and ownership of projects
- Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy and tact
Hourly Range: $41.35 to $53.36 . Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies, and experience.
