Job Title:
Operations Analyst
Department:
Academic Affairs Administration | Timashev Center for Software Innovation
The Operations Analyst will provide high-level support to ensure the seamless execution of student innovation and entrepreneurship initiatives across the Center for Software Innovation (CSI), Keenan Center for Entrepreneurship (KCE) and the AI Fluency initiative. Reporting to the CSI Operations Lead, this role serves as the functional engine of the organization, managing the digital tools, documentation, and communication channels that keep our community of builders moving forward.
Functional Lead for Operational Tools & Data Analytics
The Operations Analyst will run the data analytics infrastructure for the team; design dynamic operational dashboards to track key performance indicators (KPIs) across programs, translating raw data into actionable insights and visual impact reports for leadership that show the strategic tie among CSI, KCE and the AI Fluency initiative.
To enable this work, the Operations Analyst will serve as the primary administrator and functional lead for project management and operational tools across the team (e.g., Asana, Customer Relationship Management tools, Microsoft suite, Google suite, Claude, Gemini, Worldlabs). This role will build and maintain project boards, automate workflows, and partner with the Operations Lead and the AVP for Student Innovation and Entrepreneurship to ensure all team members are leveraging these tools effectively to meet deadlines and KPIs. By continually providing ongoing support and guidance to staff and students on internal systems, we will together ensure data integrity and operational consistency. It will be critical to monitor team progress within these tools to identify bottlenecks before they impact delivery.
Document Management & SOPs
The Operations Analyst will maintain team processes and documentation by organizing digital storage systems and tracking internal data. Specifically, standardizing and update Standard Operating Procedures (SOPs) and playbooks created by the Operations Lead to ensure they are current and accessible; and tracking the lifecycle of MOUs, contracts, and funding agreements, ensuring that all documentation is correctly filed and that renewal/reporting dates are flagged.
This role will coordinate a team effort to standardized email outreach and maintain consistent messaging and communication processes for regularly scheduled events and programming. Additionally, supporting the Operations Lead and AVP in the creation of slide decks and reporting visualizations for leadership and council meetings.
Communications, Website, & Social
The Operations Analyst will execute regular updates for the team websites, ensuring content is fresh, accurate, and reflects current initiatives; manage social media accounts and digital communication channels to engage the student builder community, aligning content among CSI, KCE and the AI Fluency initiative.
Strategic Support & Execution
The Operations Analyst will step into specific projects on an ad-hoc basis to provide extra capacity during peak periods (e.g., major events, program launches). Additionally, this role will assist with the logistical setup for onboarding new staff, fellows, and students.
