What is the opportunity?

The Office Manager is a key role, and a main point of contact for administrative support/functions at RBC Global Asset Management's (GAM's) Toronto Offices (currently 155 Wellington). You will manage 3 direct administrative reports and 1 contract staff. Responsibility to ensure that RBC GAM's office floors are maintained in a clean, efficient, safe and secure environment and to oversee the effective provision of office services to RBC GAM staff in the Toronto area. You will provide facilities and some compliance support for Operations. There is direct engagement with RBC, and GAM leadership. You will be a resource for assisting staff find what they need to do their day-to-day jobs and keep staff informed of office procedures.

What will you do?
  • Supervision of main reception desk which includes boardroom bookings, catering requests, stationary ordering, expense reporting, access card requests, receiving/preparing couriers. Ensure that staff provide the needed administrative services to the required standards
  • Responsible for ensuring a clean, safe and efficient office environment
  • Overall responsibility for Health and Safety of RBC GAM floors and staff in Toronto
  • Supervision of Facilities Coordinator in day-to-day office occurrences ensuring premises is in working order. Includes mailroom functions i.e. sorting, delivering and arranging incoming and outgoing mail.
  • Collect and track for Investment Management team (from Compliance site) gifts and entertainment received and submitting to Managing Director, Senior PM and Head of Portfolio Solutions for review.


What do you need to succeed?

Must Have
  • 3-5 years of office management experience with emphasis managing and working in a financial office environment.
  • Post Secondary or Undergraduate business degree.
  • Experience managing direct reports
  • A self-starter with strong time management and organizational skills. Very organized with a high attention to detail in a fast paced ever changing work environment
  • Effective problem identification, analytical and resolution skills along with excellent interpersonal, oral, written and presentation skills.
  • Strong ability to interact with all levels of staff, and must be able to maintain relationships that will relate to the overall success of the established firm goals.

Pay Range

The expected pay range for this position is:
$67,000.00 - $110,000.00
