Office Manager - Position Overview

This role combines Office Manager responsibilities with Executive Assistant support for one C-level executive (Chief People Officer). The right candidate will be the go-to person for keeping the Hoboken office running efficiently day to day, while also providing dedicated, high-touch support to a senior executive. This position is based in the office five days a week, as many of the responsibilities require an on-site presence. The ideal candidate takes ownership of both sides of the role without needing much oversight.

Location: Hoboken, NJ (HQ) - this position is on-site 5 days a week

Reports To: Chief People Officer

Key Responsibilities

Office Operations Management
  • Oversee all aspects of daily office operations, including supplies, equipment, and general facilities upkeep
  • Serve as the primary point of contact for office-related needs and requests from employees

Kitchen & Pantry Management
  • Keep the office kitchen stocked and organized, including re-stocking the fridge, snacks, coffee, and other pantry items
  • Place recurring and ad hoc orders for kitchen supplies
  • Ensure the kitchen area stays clean and well-maintained

Event Planning
  • Plan and execute company events, team meetings, offsites, and celebrations
  • Coordinate logistics including venue, catering, materials, and scheduling

Resource Management
  • Maintain inventory of office supplies and equipment
  • Coordinate repairs, replacements, and vendor service calls as needed
  • Manage relationships with office vendors and service providers

Budget & Expense Management
  • Monitor and manage the office operating budget
  • Ensure cost-effective purchasing decisions
  • Track expenses and flag inefficiencies or opportunities for savings

Facility Management
  • Maintain a clean, safe, and functional office environment
  • Ensure the space supports employee productivity and comfort
  • Coordinate with building management/landlord as needed

Technology & Systems Support
  • Assist with implementation and upkeep of office technology (printers, AV equipment, computers, etc.)
  • Troubleshoot basic technical issues and coordinate with IT or vendors for repairs
  • Ensure office systems remain functional and up to date

Executive Assistant Support
  • Provide dedicated support to one C-level executive
  • Manage complex calendars, scheduling, and meeting coordination
  • Arrange domestic and international travel logistics
  • Handle day-to-day requests such as lunch ordering and other personal/professional support tasks

Ad Hoc Projects
  • Take on additional projects and initiatives as they arise; this role requires flexibility and a willingness to jump in wherever needed
Qualifications
  • 2+ years of experience in office management, executive support, or a related administrative role
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) and comfort learning new tools/systems
  • Discretion and professionalism when supporting senior executives
  • Prior experience in real estate, private equity, or financial services a plus
  • A proactive, "no task too small" mindset
