Job Purpose

 

The Office Manager, Chicago is the heartbeat of the Pattern Chicago office. This highly visible, people-centered role is responsible for shaping how employees, leaders, and visitors experience Pattern every day — from the moment they walk through the door.

 

This role creates a welcoming, professional, and seamlessly run workplace that reflects Pattern’s values in action. As the first point of contact and a constant in-office presence, the Office Manager sets the tone for hospitality, communication, and care, ensuring the office operates with warmth, intention, and operational excellence.

 

Success in this role requires exceptional emotional intelligence, sound judgment, and a proactive service mindset. The ideal candidate builds trust across all levels of the organization, anticipates needs before they arise, and takes pride in creating an environment where people feel comfortable, supported, and proud to work. This role balances high-touch engagement with strong execution — making it both the cultural anchor and operational backbone of the Houston office.

 

This is a full-time, onsite position, Monday through Friday, 8:00am–5:00pm.

 

Key Accountabilities

  • Vendor management - Manage relationships with external parties who support the Chicago workplace, including but not limited to food, wellness, supplies, etc. Onboard any new WOE CHI vendors and serve as Workplace Ops vendor point person. Ensure vendor onboarding and payment is met in a timely, efficient manner that follows Pattern processes and guidelines.
  • Employee and Visitor Experience – Manage front desk, ensure welcoming environment for visitors and clients setting a high standard for employee and visitor experience; Handle employee inquiries as they come in and proactively anticipate needs and provide solutions in a timely, professional manner
  • Facilities Management - Collaborate with the Sr. Director, WOE to lead space planning, office expansions or remodels, and layout changes as needed; coordinate move logistics for Chicago.
  • Office Safety and Management – Partner with Sr. Director to oversee facility management, including space planning, maintenance, and office improvements for CHI office; Partner with WOE SF + EHS to ensure compliance with health and safety regulations; Own all communications to CHI office employees on CHI-based office events, changes, and operations.
  • Event and Program Management- Collaborate with SF WOE to coordinate company events end-to-end, from small meetings to large corporate gatherings, ensuring successful rollout of logistical and tactical operations; Own and manage logistics, including but not limited to venue selection, vendor negotiation, and event budgeting.
  • Collaboration with Internal Stakeholders - Able to partner closely with EA + AA and various departments as subject matter expert and advisor for in-office needs; Leads all CHI based office-related projects and initiatives, including but not limited to training and collaborating with cross-functional teams on office solutions and support.

The expected starting pay range for this role is $80,000 - $108,000 USD. This range is an estimate and base pay may be above or below the ranges based on several factors including but not limited to location, work experience, certifications, and education. In addition to base pay, Pattern’s compensation program includes a bonus structure for full-time employees of all levels. We also provide a comprehensive benefits package which includes medical, dental, vision, short and long-term disability, life insurance, voluntary benefits, family care benefits, employee assistance program, paid time off and bonding leave, paid holidays, 401(k)/RRSP retirement savings plan with employer contribution, and employee referral bonuses.
