Office Coordinator - Australia

Expected Salary Range: $110,000 - $130,000 per year

The Office Coordinator will efficiently and effectively perform and support the administrative operations of a U.S. federal secure construction site in the Northern Territory of Australia, including security documentation, subcontractor scheduling and invoicing, government and prime contractor reporting. The Office Coordinator will serve as the main point of contact for all administrative tasks on site.

Duties and Responsibilities / Essential Functions
  • Perform administrative tasks supporting daily construction operations at the site, including data entry, recordkeeping, report creation, visitor coordination, etc.
  • Support employees at the site by facilitating completion of those employees' administrative tasks.
  • Prepare and submit comprehensive reports to U.S. Government agencies and other contractors, ensuring compliance with all documentation standards and deadlines.
  • Manage and organize security documentation to ensure alignment with organizational and regulatory requirements, upholding strict confidentiality and accuracy in support of the Site Security and Safety Manager.
  • Process and track visit requests, facilitating smooth access for personnel and guests while adhering to established security protocols.
  • Compile, scan, copy, sort and file records of site activities.
  • Organize and file documents, both physical and digital, in a systematic and secure manner.
  • Manage office supplies inventory, ensuring adequate stock levels.
  • Greet, assist and brief visitors, ensuring a welcoming and professional environment on site.
  • Coordinate and manage office space and conference room set-up in support of employees and visitors.
  • Manage subcontractor schedules, ensuring consistent communication and coordination to achieve project milestones on time.
  • Handle incoming and outgoing mail and packages.
  • Answer telephones, direct callers appropriately, and take and deliver messages.

Supervisory Responsibility

This position does not require the supervision of direct reports.

Work Environment

This position operates on a construction site in a professional office using standard office equipment.

Physical Demands

While performing the duties of this job, the employee is required to work for prolonged periods of time sitting at a desk and working on a computer. Lifting of up to 25 lbs. may occur.

Position Type / Expected Hours of Work

This is a full-time exempt position located in the Northern Territory of Australia. Employee must be willing and available to relocate for an assignment of up to 24 months. Typical hours are 40+ hours per week. Weekends and holidays may be required.

Travel

No travel is required other than to and from the construction site.

  • Must be able to pass federal contract OCONUS deployment requirements published by the US Government from time to time.
  • Must successfully pass pre-employment (post offer) background check.
  • Must successfully pass pre-employment (post offer) drug test and motor vehicle record review.
  • Must possess a valid driver's license.
