Overview

The Office Administrator plays a critical role in ensuring the smooth and efficient daily operations, facilities coordination and workplace experience for our Planet Fitness' Club Support Center in Boston. With a strong focus on team member experience, this role will ensure the office is not only functional but also engaging, welcoming, and aligned with our company culture.

The Office Administrator combines office operations leadership, executive and administrative support, facilities management, and team member engagement to create a best-in-class workplace experience. This role partners closely with leaders across the organization to support operational excellence, strengthen company culture, and enhance the overall team member experience.

This role requires regular, in-person work at our Boston, MA office, Monday-Thursday, and occasional work-from-home Fridays. The anticipated start time for this role is 7:30am. Candidates must reside within commuting distance of this office location. Fully remote work is not available for this role.

Responsibilities

Facilities & Operations
  • Oversees the day-to-day operations of the Boston Club Support Center, ensuring a welcoming, professional, and productive work environment.
  • Serves as the primary point of contact for team members, new hires, candidates, franchise owners, vendors, and visitors, ensuring a welcoming, professional, and engaging experience within the Club Support Center.
  • Helps shape and enhance the day-to-day culture and experience within the Club Support Center.
  • Coordinates office space planning, seating assignments, office moves, and workspace utilization.
  • Manages conference room scheduling, office resources, and shared workplace services.
  • Oversees incoming and outgoing mail operations and office supply inventory to ensure business continuity.
  • Manages relationships with vendors and service providers, including cleaning, catering, security, HVAC, maintenance, and other office services.
  • Serves as the primary liaison with the building landlord and property management team to address facility-related needs and maintenance requests.
  • Coordinates routine office repairs, preventative maintenance, and workplace improvement initiatives.
  • Ensures compliance with workplace safety, security, emergency preparedness, and ergonomic standards.
  • Partners with property management to coordinate emergency response procedures, fire drills, and workplace safety training.
  • Monitors office security systems, visitor management processes, and access control procedures.
  • Manages office and shared-space readiness, ensuring conference rooms, common areas, kitchens, and break areas are consistently organized, stocked with supplies, snacks, beverages, and workplace essentials, and prepared for daily team member and guest needs.

Team Member Experience & Engagement
  • Leads and supports initiatives designed to enhance workplace culture, team member engagement, and overall office experience for our Boston CSC.
  • Partners with Operations, Engagement, and department leaders to develop and execute workplace programs, communications, events, and recognition initiatives.
  • Coordinates team member wellness activities, team-building events, and in-office experiences that strengthen organizational culture.
  • Oversees new hire workspace preparation, onboarding logistics, and workplace readiness activities.
  • Identifies opportunities to continuously improve workplace processes, engagement programs, and team member satisfaction.
  • Leads or participates in special projects that improve operational effectiveness and workplace experience.

Executive Support & Business Operations
  • Provides administrative support to executive leadership team members.
  • Reconciles monthly expense reports and maintains accurate records utilizing company systems and processes.
  • Coordinates the on-site interview experience by welcoming candidates, ensuring interview schedules remain on track, escorting candidates between meetings, and partnering with Talent Acquisition and hiring leaders to deliver a seamless and professional candidate experience.
  • Coordinates travel arrangements, itineraries, and related logistics.
  • Partners with executive assistants and business leaders to support scheduling, meetings, and administrative priorities.
  • Coordinates meeting logistics, catering, conference room preparation, materials distribution, and post-meeting support.
  • Handles highly confidential and sensitive business information with professionalism and discretion.


Qualifications

  • Bachelor's degree in business administration or related field preferred
  • 7+ years of experience managing office operations, workplace services, facilities coordination, executive support, or related administrative functions in a corporate environment.
  • Strong ability to independently manage workplace operations, anticipate needs, exercise sound judgment, and resolve issues with minimal direction.
  • Demonstrated experience supporting office operations within a fast-paced and dynamic business environment.
  • Proven experience managing multiple calendars, scheduling priorities, and executive support activities utilizing Microsoft Outlook.
  • Strong knowledge of workplace operations, facilities coordination, vendor management, and office administration.
  • Advanced proficiency with Microsoft Office Suite and workplace technologies.
  • Experience utilizing visitor management systems, expense reporting tools, and related business applications preferred.
  • Strong judgment, problem-solving, and decision-making skills.
  • Extremely detail-oriented, efficient, and organized with an exceptional ability to establish priorities and objectives.
  • Superior verbal and written communication skills along with the ability to communicate effectively across all levels of the organization.
  • Able to establish and maintain effective, collaborative work relationships with diverse individuals, internally and externally.

The salary for MA-based employees hired into this role will be aligned with the range below. This is a good faith estimate, and the amount of base salary will correspond with a candidate's professional experience, qualifications and internal equity.

Annual Base Salary Range: $90,000-$100,000

This role is also eligible to participate in an annual corporate bonus incentive program based on company financial and personal performance.
