Full Job Description
Responsibilities include but are not limited to:
  • Manages two teams (post-closing and imaging) including recruiting, hiring, coaching, development, performance evaluations and disciplinary actions as needed. Reviews daily work produced by the team, provides feedback and trains on new job functions.
  • Oversees the daily operation of the Post Closing teams, which includes directing workflow, ensuring all loan closing packages are received timely from various lending teams and providing direct communication and timely reporting to all business lines -- escalating items to Management when needed.
  • Oversees the daily operation of the Imaging teams, which includes directing workflow, ensuring all items are imaged accurately and timely, and all documentation is indexed to appropriate files and can be retrieved easily.
  • Ensure adherence to established service standards, including maintaining confidentiality of work-related information and materials.
  • Oversee the exception process, which includes tracking of exceptions, and resolution of documentation exceptions (items that have not come back from recording, from attorneys, etc, expired filings, etc.). Use knowledge and discretion to follow-up and find resolution for all open items and other outstanding compliance or policy issues.
  • Create and develop monthly tracking control log. Provide results to management on a monthly basis.
  • Create a procedure manual for all activities handled by the Post Closing and Imaging teams. Including flow charts of various processes and definitions for all reports that are generated on a regular basis, as well as instructions for setting up and maintaining ticklers used to track policy expiration dates.
  • Effectively use interpersonal and communications skills, including tact and diplomacy, and maintain a cooperative and professional manner with internal and external customers.


Required Skills:
  • Strong leadership skills, ability to manage team (in person and remotely) in various locations.
  • Strong knowledge of commercial lending and commercial real estate loan documentation.
  • Demonstrated proficiency using electronic imaging technology and related storage requirements, image and document formats.
  • Proficient computer skills using Microsoft Work, Excel and Outlook.
  • Knowledge of nCino imaging system.
  • Good verbal and written communication skills.
  • Strong attention to detail, accuracy and follow through.
  • Ability to handle multiple projects simultaneously.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions.

Required Experience:
  • High School Diploma or GED equivalent and a minimum of 7 years of experience working in loan operations and/or loan documentation, with demonstrated management experience or leadership skills.

Preferred Experience:
  • College degree with three years of experience in loan operations or loan documentation.
