Responsibilities

  • Manage the chart check-in process for accurate filing and reporting
  • Oversee the outpatient record process to ensure timely coding and billing
  • Conduct weekly audits of ancillary outpatient records for accuracy
  • Certify daily filing of ancillary outpatient registrations
  • Handle emergency room chart processing to ensure timely record management
  • Perform compliance audits and compile statistics for regulatory adherence
  • Interact with medical staff to resolve incomplete record issues
  • Schedule and conduct educational training for record completion staff
  • Represent HIM at meetings for decision-making
  • Manage staff-related duties including attendance and training
  • Assist in developing and monitoring productivity and quality improvement activities
  • Coordinate weekly audits to maintain computer system integrity
  • Ensure adequate staff coverage through scheduling and cross-training

Your Job: The manager of record processing is responsible for managing the record processing workload to assure functions are performed in a timely manner with the degree of accuracy required. The position includes performing the various tasks, training new hires, auditing and reporting statistics of productivity and quality improvement indicators. Your Job Requirement:  Graduate from an accrediated HIM program or 5 years experience in a HIM department  RHIA, RHIT preferred, not required  5 years experience in HIM with extensive knowledge of record processing processes.  Ability to professionally and effectively communicate (orally and in writing)  Detailed minded, prioritizes and organizes, strong leadership skills  Shows initiative, is a self starter, works independently within time frames delegated  Proactive, not reactive, analyzes problems accurately, develops recommendations and takes appropriate action to problem solve Your Job Responsibilities:  MANAGE THE CHART CHECK IN PROCESS TO ENSURE CHARTS ARE IN THE CORRECT FOLDER THE DAY THE CHARTS ARE PICKED UP FROM THE PATIENT CARE UNITS AND ALL REPORTS ARE PRINTED AND FILED ON THE APPROPRIATE CHART.  MANAGE THE OUTPATIENT RECORD PROCESS BY ENSURING ALL RECORDS ARE RECEIVED TIMELY AND PROCESSED TO ALLOW TIMEL Y CODING AND BILLING.  VERIFIES THAT ANCILLARY OUTPATIENT RECORDS ARE ACCURATELY PROCESSED AND FILED BY COMPLETING WEEKLY AUDITS.  CERTIFY THAT ANCILLARY OUTPATIENT REGISTRATIONS ARE FILED ON A DAILY BASIS.  MANAGE THE EMERGENCY ROOM CHART PROCESS BY ENSURING ALL RECORDS ARE RECEIVED TIMEL Y AND PROCESSED TO ALLOW TIMELY CODING AND BILLING.  PERFORMS TIMELY PERTINENT AUDITS VITAL TO HIM COMPLIANCE (VERBAL- TELEPHONE READ BACK, PROHIBITED ABBREVIATIONS, TIMING AND DATING MEDICAL RECORD ENTRIES, H&P AND OP TIMELINESS, ETC) AND COMPILE STATISTICS TO ASSURE COMPLIANCE WITH MHS MEDICAL STAFF BYLAWS AND REGULATORY AGENCIES UTILIZING CRITERIA DEVELOPED AND/OR APPROVED BY HIM MANAGEMENT OR HIM COMMITTEE.  INTERACTS WITH MEDICAL STAFF OR OTHER DEPARTMENTS AS HIM REPRESENTATIVE TO RESOL VE INCOMPLETE RECORD ISSUES TIMELY.  SCHEDULES AND CONDUCTS EDUCATIONAL TRAINING FOR STAFF INVOLVED IN THE RECORD COMPLETION PROCESS TO ASSURE NEW PROCESSES ARE EXPLAINED AND UNDERSTOOD.  ASSIST IN MANAGEMENT EFFORTS BY REPRESENTING HIM AT ASSIGNED MEETINGS TO PARTICIPATE IN DECISION MAKING PROCESSES REGARDING HIM.  PERFORM MANAGEMENT DUTIES SUCH AS TIME AND ATTENDANCE, INCENTIVE PA Y, INTERVIEWING SELECTION, ORIENTATION, STAFF DEVELOPMENT AND TRAINING, JOB DESCRIPTIONS, RECOGNITION, COUNSELING AND EVALUATIONS  ASSIST WITH THE DEVELOPMENT, IMPLEMENTATION AND MONTHL Y MONITORING OF PRODUCTIVITY PERFORMANCES AND QUALITY IMPROVEMENT ACTIVITIES OF THE HIM DEPARTMENT.  COORDINATE MONITORING OF WEEKLY LOCATOR AUDITS TO MAINTAIN THE INTEGRITY OF THE COMPUTER SYSTEM.  CONSISTENTLY PROVIDE ADEQUATE STAFF COVERAGE THROUGH CLOSE SCHEDULING, OVERTIME AND/OR CROSS TRAINING TO MAINTAIN THE VARIOUS WORKLOAD TURNAROUND TIMES
