Overview

The Meeting & Events Project Manager is responsible for planning, coordinating, and executing highquality meetings, conferences, and corporate events. This role oversees the full event lifecyclefrom initial concept and budgeting through onsite delivery and postevent analysisensuring events meet strategic objectives, enhance attendee experience, and align with organizational goals. The ideal candidate is detailoriented, highly organized, and skilled in managing multiple stakeholders and vendors simultaneously.

Responsibilities

Event Planning & Strategy

  • Develop and execute event strategies aligned with business goals and brand standards.
  • Lead planning sessions to define event objectives, success metrics, timelines, and resource needs.
  • Conduct venue sourcing, site inspections, and vendor evaluations to determine best-fit options.

Project & Budget Management

  • Create and manage detailed project plans, timelines, and budgets for each event.
  • Track expenses, negotiate contracts, and ensure cost-effective solutions without compromising quality.
  • Monitor project milestones and manage risk mitigation strategies.

Vendor & Stakeholder Coordination

  • Coordinate with internal teams, senior leaders, sales partners, marketing, communications, and external vendors.
  • Manage relationships with hotels, production companies, A/V teams, caterers, dcor providers, transportation, and other suppliers.
  • Ensure all partners understand event requirements, messaging, and service expectations.

Event Logistics & Execution

  • Oversee logistics including registration, rooming lists, travel coordination, event materials, staging, signage, and staffing.
  • Manage onsite event execution, including setup, rehearsals, attendee flow, and real-time problem resolution.
  • Drive high levels of customer experience through polished, professional event delivery.

Communications & Content Support

  • Partner with presenters and executives to coordinate agendas, scripts, run-of-show, and presentation materials.
  • Support development of event communications such as invitations, internal announcements, attendee updates, and surveys.

PostEvent Analysis

  • Lead postevent debriefs and compile performance metrics, attendee feedback, budget reconciliation, and operational insights.
  • Recommend improvements to enhance future events.
Qualifications
  • Bachelors degree in Event Management, Marketing, Communications, Business, or related field (or equivalent experience).
  • 3 67+ years of experience managing corporate meetings, conferences, or large-scale events.
  • Strong project management skills and proficiency with tools such as Microsoft Office, Teams, Excel, SharePoint, and project management platforms.
  • Proven success managing budgets, contracts, and vendor negotiations.
  • Excellent communication, interpersonal, and executivepresence skills.
  • Ability to travel for onsite event support (10 40% depending on role).

Preferred Qualifications

  • CMP, CMM, or other event management certifications.
  • Experience supporting senior executive stakeholders.
  • Familiarity with hybrid/virtual event platforms (e.g., Teams Live Events, Zoom, ON24).
  • Background in corporate, pharmaceutical, or global event settings.

The pay for this position is expected to be from $86,850 and $101,325; however, while the salary range is effective as of the date of this posting, fluctuations in the job market may necessitate adjustments to pay ranges. Further, final pay determinations will depend on various factors, including but not limited to experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, such as bonus, commissions, or discretionary awards in addition to a full range of medical, financial, and/or other benefits (listed below)

Regular in-office physical presence is an essential function of the role to facilitate real-time collaboration, participate in team problem-solving sessions, attend onsite meeting, and interact face-to-face with cross-functional teams.
