Full Job Description
Job Description

We are seeking an exceptional strategic operator to serve as Chief of Staff / Manager Assistant to the Vice President of Digital Acquisition & Marketing Technology.

This role extends well beyond traditional executive support. The successful candidate will serve as a trusted advisor, strategic thought partner, and operational leader responsible for helping the Vice President maximize organizational effectiveness across one of the largest technology organizations within USCDT.

This individual will help shape how the Executive Office operates by proactively identifying opportunities, simplifying complex work, connecting initiatives across organizations, and ensuring the executive remains focused on the highest-value priorities.

The ideal candidate possesses exceptional strategic thinking, business acumen, executive communication skills, organizational awareness, and intellectual curiosity. They seek to understand not only what the organization is working on, but why it matters and how individual initiatives connect to the broader Digital Acquisition & Marketing Technology strategy.

Success in this role requires someone who thrives in ambiguity, enjoys solving complex organizational problems, and is equally comfortable discussing technology strategy, organizational planning, executive communications, AI transformation, and business operations.

Responsibilities

Executive Office Leadership
  • Design, implement, and continuously improve Executive Office operating rhythms and governance processes.
  • Lead planning cadences for leadership meetings, strategic reviews, Town Halls, and executive communications.
  • Establish repeatable operating models that improve organizational effectiveness and reduce reactive work.
  • Drive accountability by ensuring clear ownership, timelines, and follow-through on strategic initiatives.

Executive Communications
  • Draft executive communications, presentations, speaking materials, leadership updates, and strategic messaging.
  • Translate complex technical and business topics into executive-ready communications appropriate for diverse audiences.
  • Ensure consistent messaging across leadership teams and enterprise partners.
  • Support preparation for executive meetings with internal and external stakeholders.

Cross-Functional Leadership
  • Build trusted relationships across Product, Engineering, Marketing, Finance, HR, Legal, Procurement, and Enterprise Technology organizations.
  • Influence without direct authority by aligning leaders around shared priorities and organizational goals.
  • Coordinate cross-functional initiatives requiring executive visibility or sponsorship.
  • Serve as a connector across organizations to improve collaboration and remove execution barriers.

Organizational Effectiveness
  • Continuously identify opportunities to simplify processes, improve operational efficiency, and enhance executive productivity.
  • Capture institutional knowledge and develop repeatable playbooks that improve organizational continuity.
  • Build dashboards, reporting mechanisms, and executive insights that support better decision-making.
  • Leverage AI and automation to improve Executive Office workflows, communications, documentation, and knowledge management.

Qualifications

The ideal candidate is an intellectually curious, highly motivated self-starter who combines strategic thinking with exceptional execution.

This individual enjoys understanding how businesses operate, quickly learns new subject areas, and proactively identifies opportunities to improve organizational effectiveness.

The successful candidate will demonstrate:
  • Exceptional strategic thinking with the ability to connect individual initiatives to broader organizational objectives.
  • Strong business acumen and the ability to quickly understand complex Product, Marketing, Engineering, AI, and Technology domains.
  • Outstanding executive communication skills, including writing, presentation development, and executive storytelling.
  • Demonstrated ability to synthesize large amounts of information into concise recommendations for senior leadership.
  • Exceptional project and program management skills within highly dynamic environments.
  • Strong organizational awareness with the ability to influence without direct authority.
  • Excellent judgment, discretion, professionalism, and executive presence.
  • Ability to balance multiple competing priorities while maintaining attention to detail.
  • Demonstrated ability to work independently with minimal direction.
  • Experience operating successfully within ambiguous, rapidly changing environments.
  • Proven ability to build trusted relationships across multiple organizations and leadership levels.
  • Passion for continuous improvement and designing scalable operating models rather than simply executing existing processes.
  • Strong analytical skills with the ability to leverage data to support executive decision-making.
  • Experience utilizing AI-enabled productivity tools to improve executive workflows and organizational effectiveness is highly desirable.

Preferred Experience
  • Experience supporting senior technology, product, or marketing executives.
  • Experience within Technology, Product Management, Digital Marketing, AI, Data, Strategy, or Consulting organizations.
  • Experience preparing executive-level communications and presentations.
  • Experience leading cross-functional strategic initiatives.
  • Experience designing organizational operating models or governance processes.
  • Familiarity with AI-enabled productivity tools and modern digital collaboration platforms.

What Success Looks Like

Within the first year, the successful candidate will:
  • Become a trusted advisor and strategic partner to the Vice President.
  • Develop a deep understanding of the Digital Acquisition & Marketing Technology organization and how it supports broader enterprise priorities.
  • Build trusted relationships across leadership teams and enterprise partners.
  • Improve Executive Office operating rhythms through proactive planning and standardized processes.
  • Increase executive capacity by reducing administrative overhead and improving organizational visibility.
  • Deliver clear, concise, executive-quality communications that enable faster and better-informed decision-making.
  • Continuously improve organizational effectiveness through thoughtful process design, AI adoption, and operational excellence.
  • Enable the Vice President to spend more time focused on strategic leadership, external partnerships, organizational transformation, and long-term business priorities.

Our Ideal Candidate

We are looking for someone who is naturally curious and wants to understand how the business works-not just complete tasks.

The successful candidate will invest time learning the Digital Acquisition & Marketing Technology organization, understanding how Product, Marketing, Engineering, AI, and Enterprise initiatives connect together, and proactively identifying opportunities to improve how the organization operates.

This role is ideal for someone who enjoys solving complex business problems, building trusted executive relationships, simplifying ambiguity, and helping leaders make better decisions.
