Overview of the Legal & Regulatory Group The Legal & Regulatory Group (LRG) is responsible for enabling strategic business priorities across Bridgewater, and identifying and mitigating legal and regulatory risk, while pursuing operational excellence through efficiency, resiliency, and scalability. Our group maintains in-house expertise across a broad range of areas, including corporate, investment management, private funds, governance, intellectual property, employment, commercial law, dispute resolution, regulatory affairs, and compliance. The team works closely with departments across the firm and manages active relationships with regulators, external counsel, and outside vendors.
About the Role The Legal and Regulatory Department is seeking a Management Coordinator to provide high-level executive support to two senior leaders within the department while also owning a meaningful piece of the team's legal billing operations. This is a hybrid role by design: roughly half calendar and executive support, half hands-on legal operations - reviewing and processing outside counsel invoices, maintaining accurate billing and accrual data, and keeping the department's e-billing and matter management systems current.
This role demands a highly organized, detail-oriented candidate who can move fluidly between fast-moving calendar management and careful, process-driven billing work. Given the sensitive nature of the information our leaders and outside counsel relationships involve, unwavering professionalism, absolute discretion, and exceptional judgment are non-negotiable.
Responsibilities Executive Support & Calendar Management - Provide autonomous leverage to two senior LRG stakeholders through detailed calendar management, meeting and travel coordination, and preparation for internal and external engagements.
- Act as first point of contact and gatekeeper for the leaders supported, fielding and prioritizing incoming requests from internal and external stakeholders.
- Track and coordinate deliverables and commitments across both leaders' responsibilities to ensure timely completion.
- Assist members of the leaders' teams with ad hoc administrative requests and help install and maintain intra-team processes.
Legal Billing & Operations Support - Support the day-to-day administration of the department's e-billing and matter management systems, keeping matter, timekeeper, and vendor records accurate and current.
- Review outside counsel invoices for compliance with billing guidelines, route approvals, and track accruals to support accurate, timely spend reporting.
- Help maintain vendor and outside counsel records, including onboarding documentation, timekeeper rates, and matter setup.
- Assist in identifying and escalating billing discrepancies or spend leakage, and support resolution of routine billing questions from outside counsel.
- Compile recurring spend and billing reports to support departmental budgeting and financial reporting.
- Partner with the Legal Operations team on ad hoc projects related to vendor management, invoice audits, and process improvement.
Qualifications - 3-5 years of experience in an administrative, executive support, or legal operations capacity; experience within an in-house legal department, law firm, or professional services environment is a plus.
- Prior exposure to e-billing, matter management, or legal invoicing processes strongly preferred; willingness and aptitude to learn these systems is required.
- Strong financial and analytical attention to detail, with comfort reviewing invoices, tracking spend, and working with numerical data.
- Effective written and oral communication skills, with the professionalism and discretion required to interact with senior leaders and outside counsel.
- Ability to anticipate needs, independently solve problems, and adapt to unexpected changes and shifting priorities.
- Proficiency with Microsoft Outlook, Word, and Excel; familiarity with e-billing or matter management platforms (e.g., Brightflag, Legal Tracker, or similar) is a plus.
Physical Requirements The anticipated onsite requirement for this role is four days per week at our Westport, CT campus, with occasional travel to our NYC office location.
Wage Range The wage range for this role is $125,000 - $200,000 inclusive of base salary and discretionary target bonus. The expected base salary for this role is between 80% - 90% of this wage range.
