About the Role

Provides administrative and supervisory support for logistics operations across projects, ensuring effective execution of material movement, procurement requests, documentation, vendor coordination, and schedule alignment. Manages day-to-day execution in remote, hybrid, and operational environments by tracking shipments, initiating purchase requisitions, documenting receiving activities, coordinating resources, and maintaining accurate records. Facilitate communication among internal teams, vendors, and customers to ensure all logistics activities are executed accurately, on time, and in compliance with company policies, contractual requirements, and regulatory standards.

This is a full-time position for the duration of the project contract, with an anticipated conclusion on or before December 31, 2027.

This position requires frequent travel (approximately 25-50% of the time), including extended assignments and overnight stays away from the employee's home office or primary residence to support project operations.

ESSENTIAL FUNCTIONS:
  • Leads logistics planning and execution activities for assigned projects and is responsible for determining transportation methods, material flow strategies, delivery prioritization, and resource allocation decisions necessary to achieve project objectives.
  • Compiles information for purchase requisitions (PRs) for materials, equipment, and services in accordance with project requirements, company policies, and Supply Chain procedures.
  • Reviews procurement requirements, determines sourcing approaches, develops procurement recommendations, and approves requisition requests within established authority limits.
  • Monitors requisition status, communicates with Supply Chain and vendors, and ensures timely follow-up to maintain schedule alignment.
  • Documents receiving activities for materials, parts, and equipment, including verifying quantities, logging delivery confirmations, and processing receiving notifications in company systems.
  • Tracks shipments and delivery milestones using logistics, tracking, and procurement systems; provides timely status updates to project teams and stakeholders.
  • Coordinates with internal teams, vendors, freight forwarders, and carriers to schedule pickups, deliveries, and shipments according to project timelines and operational needs.
  • Prepares, reviews, and maintains logistics documentation, including shipping manifests, bills of lading, customs paperwork, purchase receipts, and receiving logs.
  • Supports warehouse, staging, and laydown coordination to ensure materials are available as required for operational and project activities.
  • Serves as an administrative liaison between logistics providers, project teams, Supply Chain, and Operations, facilitating communication across dispersed teams.
  • Independently evaluates logistics risks, determines corrective actions, and implements solutions to resolve transportation, procurement, receiving, and material availability issues affecting project execution.
  • Manages vendor coordination, confirming delivery requirements, ensuring correct documentation, and verifying adherence to contractual expectations.
  • Maintains accurate logistics, procurement, and receiving records in compliance with company policies and audit requirements.
  • Manages tracking logistics and procurement-related costs and supports invoice reconciliation by providing delivery confirmations and receiving documentation.
  • Follows established procedures for change tracking, documentation updates, and communication of logistics impacts to project schedules.
  • Provides administrative support for logistics or procurement-related meetings, including scheduling, agenda creation, note taking, and action tracking.
  • Supports Health, Safety, Security, and Environmental (HSSE) requirements by ensuring logistics activities comply with applicable policies and site protocols.
  • Coordinates with remote and on-site personnel to ensure alignment of logistics, procurement, and receiving tasks with field execution needs.
  • Supports project close-out activities by ensuring logistics and procurement documentation is complete, accurate, and properly archived.
  • Travels as required to support logistics or operational needs.
  • Performs special duties and other tasks as assigned.
  • Adheres to all company policies and procedures.
  • Completes all tasks as appropriately assigned or requested.

KNOWLEDGE OF:

General logistics and supply chain processes, including transportation, warehousing, receiving, and material tracking.
  • Procurement processes including purchase requisitions, receiving documentation, and order tracking within company systems.
  • Administrative support practices applicable to operational, project-based, remote, and hybrid work environments.
  • Shipping documentation, freight coordination, and regulatory or customs requirements.
  • Proficiency with logistics, procurement, or ERP systems as well as Microsoft Office applications (Word, Excel, SharePoint, Outlook).

SKILLS AND ABILITIES:
  • Strong organizational skills with high attention to detail for procurement and receiving accuracy.
  • Ability to manage multiple logistics and procurement tasks simultaneously while maintaining deadlines.
  • Effective written and verbal communication skills for interacting with vendors, carriers, internal teams, and remote contributors.
  • Ability to work with distributed teams supporting logistics and procurement activities across remote and field environments.
  • Problem-solving skills for identifying and resolving logistics discrepancies, delivery issues, and procurement delays.
  • Basic analytical abilities to track shipments, requisitions, costs, and delivery performance.
  • Ability to follow established processes while adapting to evolving project and operational needs.

MINIMUM QUALIFICATIONS:

This position generally requires a high school diploma or equivalent; an associate's or bachelor's degree in logistics, supply chain, business administration, or a related field is preferred. A minimum of 2-4 years of experience in logistics administration, procurement support, supply chain operations, or a related administrative role; or an equivalent combination of education and experience.

Compensation:

The salary range for this position is $75,605-$113,408 per year. We anticipate offering $90,000-$95,000 annually.

In this position you will accrue 10 days of vacation a year with a maximum accrual of 160 hours. Accrued vacation will be vested and available for use after successfully completing six (6) months of service.
  • Nine (9) paid holidays with two (2) additional floating holidays available after six (6) months of service.
  • Full time employees will accrue ninety-six (96) hours of sick leave per year, up to a maximum of 1,040 hours.
  • Bereavement Leave - three (3) paid days off for a death in the immediate family, or five (5) days off if travel greater than 500 miles is required.
