Under the general supervision of assigned attorneys and/or supervisor, the Legal Practice Assistant performs complex and specialized secretarial support.
ResponsibilitiesEssential Functions:- Responsible for working knowledge of secretary functions, including but not limited to: telephone and voicemail procedures; operation of photocopy equipment; e-fax software and procedures; DTE software and timekeeping procedures; E-mail procedures; Messenger/UPS/FedEx and other courier services(s) forms and procedures; filing, LegalKey and other Records Center procedures
- Performs input and/or revision of documents in accordance with author's instructions, utilizing Firm equipment and software in compliance with Firm standards and procedures
- Responsible for preparing letters and memos; accurately proofreads work product; photocopies, assembles and distributes prepared materials as requested; red-lines, e-mails or processes documents in accordance with author's request; converts and formats documents using Word styles; repairs corrupt documents using DocX Tools
- Provides support to attorneys and handles specific projects
- Works with the billing analysts in Los Angeles to complete the billing process; coordinate the processes of preparing client bills accurately and in a timely manner
- Responsible for travel arrangement and coordinates with the Firm's Travel Department
- Responsible for working knowledge of Firm and/or department sponsored equipment and software. These include, but not necessarily limited to: scanning software; E-Fax software and procedures; iManage, Word 2016 and related software; Best Authority; expense reports and Chrome River procedures
- Utilize firm resources to assure that all work is completed in a timely manner
- Performs personal timekeeping, attendance (time clock stamp) and prepares timecard for timely submission
- Provides overtime coverage on occasion as required
- Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications, Experience and Personal AttributesEducation/Training/Certifications: - High school diploma required; college degree preferred
Professional Experience: - 5 years of experience as a secretary in a legal environment
Technical Skills: - Proficiency in Microsoft Office products, iManage management system, LegalKey
- Ability to learn new software specific to the needs of the assignments
- Typing of 65 WPM preferred
Performance Traits: - Excellent grammar, punctuation and spelling skills required
- Possess excellent communication and organization skills with ability to multi-task
- Work in a team environment and effectively support the attorney and support staff with minimal supervision
- Ability to work independently and anticipate tasks to be completed and perform them, as applicable
- Promote professionalism at all times
- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm and outside vendors
- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
- Ability to work under pressure, meet deadlines with shifting priorities
- Must be a self-starter with a high level of initiative
- Strong customer service skills, able to anticipate needs
- Strong attention to detail, organizational skills and the ability to handle multiple projects
- Maintains confidentiality and exercises discretion
- Exercises solid strategic thinking and problem-solving skills
Physical Requirements:- May require occasional lifting of up to 20 lbs.

Posted Pay RangeThe typical pay scale for this position is between USD $85,000.00/Yr. and USD $113,000.00/Yr., although the actual wage or salary could be lower or higher if the candidate's education, experience, skills and internal pay alignment are different from those specified.
