What can you expect from this position?Reporting to the Director, Legal Strategy, Operations, and Programs, the Legal Operations and Technology Specialist plays a critical role in optimizing the delivery of legal services across the GTAA. As the functional owner and product lead for the Legal Department's technology ecosystem, you will oversee legal operations, technology platforms, vendor management, reporting, and process improvement initiatives that enhance efficiency, governance, and business alignment. This role partners closely with Legal, Finance, IT, Procurement, and business stakeholders to implement and support innovative legal technology solutions, drive adoption through training and change management, and deliver actionable insights that enable strategic decision-making and continuous improvement across the organization.
As a Legal Operations and Technology Specialist, you will:- Serve as the functional owner and product lead for the Legal Department's technology platforms, including contract lifecycle management, matter management, e-billing, document management, knowledge management, and e-signature solutions.
- Lead the administration, optimization, and continuous improvement of legal technology tools to enhance efficiency, scalability, and service delivery.
- Design and improve legal operational processes, workflows, and automation solutions that support the evolving needs of the Legal Department and business stakeholders.
- Manage the outside counsel and legal vendor management program, including e-billing administration, spend monitoring, invoice processing, and compliance with billing guidelines.
- Develop, maintain, and deliver legal operations metrics, dashboards, reporting, and analytics that support informed decision-making and continuous improvement.
- Partner with Legal, Finance, Procurement, IT, and business teams to identify opportunities for technology-enabled process improvements and operational excellence.
- Support the implementation, testing, rollout, and ongoing maintenance of legal technology and process enhancement initiatives.
- Create and deliver training programs, user guides, communications, and change management activities that drive adoption and effective use of legal technology solutions.
- Provide expert user support, troubleshoot system issues, and act as a trusted advisor on legal operations processes, tools, and best practices.
- Identify and lead innovation and continuous improvement initiatives that leverage emerging technologies, data insights, and industry best practices to enhance legal service delivery.
This is the role for you, if you have: - 3-5 years of progressive experience in legal operations, legal technology, contract operations, or a related function within a corporate legal department, law firm, public-sector, or institutional environment.
- Experience administering, supporting, or optimizing legal technology platforms such as contract lifecycle management, matter management, e-billing, document management, or e-signature solutions.
- Demonstrated success delivering process improvements, technology implementations, system enhancements, or workflow automation initiatives.
- Strong experience working cross-functionally with Legal, Finance, Procurement, IT, vendors, and business stakeholders to drive operational effectiveness.
- Advanced proficiency with Microsoft Office applications and experience with SharePoint or similar document and knowledge management platforms.
- Strong analytical, reporting, business process mapping, problem-solving, and project coordination skills.
- Experience developing dashboards, metrics, reporting, and insights to support performance management and strategic decision-making.
- Exceptional communication, stakeholder management, training, and change management capabilities.
- A post-secondary education in legal studies, business, information technology, information management, project management, or a related discipline, or an equivalent combination of education and experience.
- Demonstrated experience working in a customer-centric environment with a commitment to service excellence and continuous improvement.
- The ability to obtain and maintain Transportation Security Clearance at the designated level for the position.
