Experienced or Senior Program Management Specialist

This role combines program leadership with business operations coordination, directing high-level analysis, identifying risk and opportunity, developing mitigation strategies, and ensuring efficient execution of cross-functional business processes. This role requires deep program or product management expertise, excellent communication skills, independent judgment, and the ability to influence outcomes across multiple teams and stakeholders without direct authority. The ideal candidate brings a track record of leading high-impact initiatives, defining scalable processes, executing on program OKRs, and translating ambiguous business needs into structured execution plans in Richmond, BC.

Position Responsibilities:

Strategic Program Execution
  • Lead execution of strategic projects that deliver measurable business value and ensure continuity across the portfolio.
  • Conduct high-level studies and analysis (trend, variance, impact) to determine scope, risks, and constraints involving product development, process improvement, and program initiatives.
  • Identify risk and opportunity potential; develop mitigation planning and refine business cases.
  • Define, scope, and deliver portfolio special projects, often with minimal direction.
  • Manage change management processes; communicate decisions and best practices to stakeholders.
  • Perform closeout of projects, document lessons learned, and transition deliverables ensuring commitment to stakeholders.


Business Operations & Execution
  • Coordinate key cross-functional processes that support customer renewals, non-standard commercial requests, and contract execution activities.
  • Act as a focal point for deviations from standard product offer ability; coordinate data collection, feasibility, and affordability reviews for non-standard offerings.
  • Analyze product line sales performance and initiate actions to meet revenue targets
  • Support administrative tasks related to contract execution, including distribution of change notices and resolution of customer data discrepancies.
  • Update and maintain associated records within CRM tools and business workflow systems.
  • Facilitate communication between Customer Success, Sales, Product, and other internal stakeholders to support smooth business execution.
  • Skilled in leveraging AI to complete deliverables in a timely manner with high quality.


Portfolio Operations & Metrics
  • Establish, calculate, and maintain OKRs, KPIs, and other portfolio metrics; prepare reports and monitor change activity throughout the program lifecycle.
  • Drive continuous process improvement initiatives that generate operational efficiencies.
  • Create and maintain artifacts (playbooks, frameworks, governance structures) that define and guide portfolio processes.
  • Support operational execution tasks including financial tracking, expense management, leadership approvals, and business reviews.


Strategic Execution & Analysis
  • Collect, organize, synthesize, and analyze data from disparate sources; summarize findings and develop conclusions and recommendations.
  • Experience defining and tracking OKRs and KPIs at the portfolio or business-unit level.
  • Critical thinking: evaluate propositions for validity using inductive and deductive reasoning.


Project & Program Management
  • Knowledge of PMBOK principles include theory of constraints, critical path methodology, risk management, and project lifecycle management.
  • Ability to define, design, plan, and deliver projects on time and within budget.
  • Ability to lead and delegate project team responsibilities through all stages of the lifecycle.


Business Acumen & Strategic Thinking
  • Knowledgeable of how the business operates; understands policies, practices, trends, competition, and marketplace dynamics.
  • Familiarity with adjacent disciplines: design/UX, finance, product management/discovery/development, software development, contract lifecycle, sales operations, and customer lifecycle management.
  • Experience supporting B2B SaaS or subscription-based product offerings.
  • Commits to courses of action based on logical assumptions, facts, available resources, constraints, and organizational values.
  • Initiates process improvements enabled and supported by technology.


Communication & Relationships
  • Exceptional verbal and written communication skills tailored to audiences from individual contributors to senior executives.
  • Builds rapport and trust among stakeholders; leverages organizational dynamics to promote program goals through shared vision.
  • Skilled in building and maintaining relationships with customers, partners, suppliers, and industry stakeholders.
  • Ability to influence without authority and drive alignment across cross-functional teams.


This position is hybrid. This means that the selected candidate will be required to perform some work onsite at Richmond location. This is at the hiring team's discretion and could potentially change in the future.

Basic Qualifications (Required Skills/Experience):

  • Bachelor's degree required (Business Administration, Finance, Operations, or related field).
  • Minimum 5 years of experience in product management, program/project management, or business operations.
  • Proficiency with Microsoft Office tools and business workflow systems.
  • Ability to work across various global time zones to facilitate internal teams and customers.
  • Ability to travel is up to 35%.
  • Must be legally able to work in Canada.
  • Individuals must not pose a risk for safeguarding of controlled goods.
  • Must be eligible to handle US export-controlled data.


Preferred Qualifications (Desired Skills/Experience):

  • Minimum 7 years of experience in product management, program/project management, or business operations.
  • Master's degree or MBA.
  • Experience leveraging AI to improve products and streamline workflows
