About the RoleWe are hiring an
Executive Operations Manager, Tech to report to our VP Engineering and serve as a trusted operating partner to our CTO and department heads across Engineering, Product, Design, and Analytics. The role will be most deeply focused on the CTO and VP Engineering, while providing ongoing, dependable support to each EPDA leader.
This role sits at the intersection of executive partnership and tech operations. You will maintain active support relationships with all EPDA department heads, understand what each leader needs, and allocate your time transparently as priorities shift. You will protect leadership time, keep important decisions and follow-ups moving, and build lightweight systems that help EPDA operate as one team. On any given week, that may mean redesigning a leader's calendar around the decisions that matter, preparing an OKR or all-hands update, helping negotiate a software renewal, coordinating an EPDA offsite, or driving a security initiative across several teams.
This is a hands-on role for someone who is equally comfortable with high-stakes executive support and operational ownership. You will not just schedule meetings; you will understand why they matter, make thoughtful tradeoffs, prepare the right context, and ensure decisions turn into action.
Location and in-office expectations: In-office role in NYC. Occasional travel is expected for offsites and company events.
Key Responsibilities:- Provide ongoing calendar, meeting, travel, preparation, and administrative support to every EPDA department head and the CTO, with the deepest and most proactive coverage for the CTO and VP Engineering; maintain a clear system for balancing requests and communicating tradeoffs across leaders.
- Serve as a go-to operating partner for EPDA leadership by preparing agendas, briefs, presentations, and decision materials and tracking commitments through completion.
- Run and improve key EPDA operating cadences, including leadership meetings, planning cycles, OKR reporting, all-hands preparation, and communications about AI use and internal efficiency.
- Manage visibility into technology vendor spend and utilization; support procurement, renewals, budgeting, and contract negotiations in partnership with Finance, Legal, Security, and functional owners.
- Project-manage cross-cutting initiatives such as security, privacy, compliance, and audit-readiness work by establishing clear owners, milestones, dependencies, risks, and escalation paths.
- Plan and coordinate EPDA offsites, leadership sessions, team events, and employer-brand initiatives that strengthen how the organization works and how candidates understand the team.
- Build strong relationships across Engineering, Product, Design, Analytics, People, Finance, Legal, Security, IT, and executive operations; identify gaps in information flow and fix them.
- Use AI, automation, and modern productivity tools to reduce repetitive work, improve reporting, and make the organization more effective without compromising judgment, privacy, or quality.
We'd love to hear from you if:- You have 5+ years of experience in executive operations, executive business partnership, business operations, technical program management, or a similarly high-trust role in a fast-growing technology company.
- You have directly and concurrently supported multiple VP- or C-level leaders across different functions and are excellent at complex calendar management, meeting preparation, travel, executive follow-through, and transparently balancing competing leadership needs.
- You have operated across multiple technical or product functions and can build credibility with Engineering, Product, Design, Analytics, and business partners.
- You have managed budgets or vendor spend and have supported procurement, renewals, contract negotiations, or vendor performance reviews.
- You have driven ambiguous cross-functional work to completion, ideally involving security, compliance, privacy, risk, or another initiative where several teams owned dependencies.
- You communicate exceptionally well in writing and verbally and can turn incomplete inputs into clear briefs, OKR reports, presentations, and company updates.
- You have excellent judgment, discretion, and attention to detail and can decide when to act, when to ask, and when to escalate.
- You are energized by both strategic and unglamorous work, stay calm when priorities shift, and take pride in making the people and teams around you more effective.
- You are fluent with tools such as Google Workspace, Slack, Notion, spreadsheets, presentation software, and modern AI tools, and you use them thoughtfully.
