Job Description:SUNY Schenectady County Community College seeks applicants for the position of Executive Director, Sponsored Programs. The position will report directly to the College President and be required to provide leadership and oversight for the College's portfolio of grants and sponsored projects, including researching funding opportunities and pursuing and writing competitive proposals for government agencies, foundations, and other sponsors. The Executive Director oversees grant implementation, budgets, performance, reporting, evaluation, and regulatory compliance; provides technical assistance and training on grant requirements and develops standardized processes to support effective grants management and successful project outcomes.
Supervisory Responsibility:
The Executive Director is responsible for the supervision, direction, and evaluation of grants and sponsored programs staff as assigned. Responsibilities may include hiring, onboarding, training, goal setting, performance management, and professional development of staff supporting grant development, grant administration, sponsored programs, workforce development, community education, and related externally funded initiatives.
The Executive Director provides leadership through project coordination, collaboration, and consultation with internal and external stakeholders and may oversee additional positions as the College's grants and sponsored programs function expands.
Responsibilities:Grant Development and Writing
- Serve as the College's primary grant writer and lead the development of competitive grant proposals.
- Research, identify, and evaluate potential funding opportunities from federal, state, local, foundation, and corporate sources.
- Develop and prepare grant narratives, budgets, work plans, implementation strategies, logic models, evaluation plans, and supporting documentation.
- Coordinate and facilitate grant development activities involving faculty, staff, administrators, and external partners.
- Establish and maintain a grant opportunity calendar and proposal development schedule.
- Assist with the review and submission of grant applications to ensure compliance with sponsor and institutional requirements. Actively seeks additional grant funding opportunities to support Presidential initiatives, programs and services, and to compliment the institutional mission.
- Researches, applies and reports on all grants while communicating to appropriate campus leaders about such grant-funded opportunities.
- Reviews literature dealing with funds available through grants from governmental agencies and private foundations to determine feasibility of developing programs to support institutional priorities.
- Develops and coordinates grant funded programs with agencies, institutions, local government, or units of local government, such as school systems or police departments.
- Writes grant application, according to format required and in collaboration with others, and submits application in a complete and timely fashion to funding agency or foundation. Meets with appropriate representatives of funding sources to work out final details of proposal.
- Ensures compliance with grant funds from external sources/agencies
- Develops and maintain contracts, Memorandum of Agreements and Understanding with local, state and federal funding agencies.
- Monitors paperwork connected with grant-funded programs.
Grant Management and Compliance
- Monitor awarded grants to ensure compliance with funding requirements, reporting obligations, and program objectives.
- Collaborate with Finance and project personnel regarding budget administration, allowable expenditures, and grant performance metrics.
- Assist with grant reporting, renewals, amendments, audits, and closeout activities.
- Maintain accurate records of grant activities, outcomes, and reporting requirements.
Strategic Planning and Resource Development
- Advise the President and College leadership on emerging funding opportunities, grant trends, and sponsored program initiatives.
- Prepare reports and analyses regarding grant activity, funding outcomes, and institutional impact.
- Support the College's strategic priorities by identifying and pursuing external funding opportunities that enhance programs, services, facilities, and student success initiatives.
Collaboration and Capacity Building
- Develop and deliver grant-related training, resources, and technical assistance to faculty and staff.
- Cultivate and maintain collaborative relationships with funding agencies, community organizations, educational partners, and other stakeholders.
- Promote a culture of grant seeking and resource development across the institution.
- Perform other related duties as assigned.

- Strong knowledge of grant funding sources, proposal development processes, and sponsored programs administration.
- Knowledge of federal, state, foundation, and corporate grant programs and related compliance requirements.
- Excellent written, verbal, editing, and presentation skills.
- Strong project management and organizational skills with the ability to manage multiple projects and deadlines simultaneously.
- Ability to analyze information, develop funding strategies, and translate institutional priorities into competitive funding proposals.
- Ability to establish and maintain effective working relationships with diverse internal and external stakeholders.
- Strong budget development and financial analysis skills related to grant proposal preparation and administration.
- Demonstrated initiative, attention to detail, and ability to work independently.
- Proficiency with Microsoft Office applications and grant submission platforms.
Minimum Qualifications:- Bachelor's degree in Public Administration, Business Administration, Education, Communications, Nonprofit Management, or a related field.
- Five (5) years of progressively responsible experience in grant development, grant writing, sponsored programs administration, institutional advancement, fundraising, or a related field.
- Demonstrated experience supervising staff, including hiring, onboarding, training, goal setting, and conducting performance evaluations.
- Demonstrated success researching, writing, submitting, and securing competitive funding from federal, state, foundation, and/or corporate funding sources.
- Proven experience independently developing grant proposals, including narratives, budgets, work plans, outcomes, and evaluation measures.
- Experience managing multiple projects and meeting established deadlines.
- Experience working collaboratively with diverse stakeholders.
Preferred Qualifications:- Master's degree in a related field.
- Experience within a community college, higher education, nonprofit, workforce development, or public-sector environment.
- Experience securing and managing grants from agencies such as the U.S. Department of Education, Department of Labor, National Science Foundation, New York State agencies, or private foundations.
- Grant Professional Certified (GPC), Certified Research Administrator (CRA), or related professional certification.
- Experience with grant management and reporting systems.
