ROLE SUMMARY

The Executive Assistant to the Co-Founder & Co-President serves as a trusted strategic partner, providing high-level administrative and operational support to the company's executive leadership. This role is responsible for managing complex calendars, coordinating domestic and international travel, preparing executive communications and presentations, overseeing confidential projects, and ensuring the day-to-day operations of the executive office run seamlessly.

The ideal candidate has extensive experience supporting founders or C-suite executives, exercises exceptional judgment and discretion, and thrives in a fast-paced, ever-changing environment. This individual is highly organized, resourceful, proactive, and capable of anticipating needs while managing competing priorities with the highest level of professionalism.
RESPONSIBILITIES
  • Serve as a trusted partner to the Co-Founder & Co-President, anticipating needs and ensuring priorities are executed efficiently.
  • Manage complex executive calendars, coordinating meetings, appearances, conference calls, and events while proactively resolving scheduling conflicts.
  • Coordinate executive communications, including responding to emails, screening calls, and serving as a primary point of contact for internal and external stakeholders.
  • Prepare correspondence, reports, presentations, financial statements, memos, invoices, letters, and other executive materials.
  • Conduct research and compile information for presentations, meetings, business initiatives, board meetings, and special projects.
  • Coordinate private, domestic, and international travel arrangements, including flights, accommodations, transportation, dining reservations, and comprehensive travel itineraries.
  • Prepare and submit expense reports, reconcile corporate credit card expenses
  • Attend executive, company, client, and board meetings, take detailed meeting notes, and track follow-up action items.
  • Coordinate executive meetings, leadership events, and special projects from planning through execution.
  • Build and maintain professional relationships with executives, clients, vendors, partners, and VIP stakeholders while representing the Office of the Co-Founders with professionalism.
  • Anticipate executive needs and proactively identify solutions before issues arise.
  • Organize and maintain electronic and physical filing systems, ensuring accurate record keeping and easy retrieval of documents.
  • Assist with administrative support for company initiatives, hospitality openings, development projects, and cross-functional teams as needed.
  • Order office supplies and assist with general office administration.
  • Handle highly confidential business, financial, operational, and personal information with the utmost discretion.
  • Perform additional administrative and operational duties as assigned.
REQUIREMENTS
  • Minimum of 5+ years of experience supporting founders, CEOs, presidents, or other C-level executives.
  • Hospitality, luxury lifestyle, entertainment, real estate, or similarly fast-paced industry experience strongly preferred.
  • Exceptional organizational skills with meticulous attention to detail.
  • Proven ability to anticipate executive needs and proactively solve problems before they arise.
  • Demonstrated experience managing complex calendars, domestic and international travel, and competing executive priorities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to interact confidently with ownership, executives, VIP clients, vendors, and business partners.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Proven ability to exercise sound judgment while handling highly confidential business and personal information.
  • Ability to work independently with minimal supervision in a dynamic, deadline-driven environment.
  • Flexibility to work outside of standard business hours as business needs require.

Pay Range: $80,000 - $100,000 per year
