As an Executive Assistant Senior, a typical day might include the following:
  • Providing advanced administrative, secretarial, and clerical support to the Plant Operations and Maintenance office.
  • Managing department calendars, schedules, appointments, and time cards while ensuring information is accurate and up to date.
  • Screening incoming calls and visitors with professionalism, courtesy, and tact, while evaluating service requests and directing messages to the appropriate team members.
  • Evaluating, prioritizing, and processing maintenance service requests in an organized and timely manner.
  • Preparing and distributing correspondence, reports, charts, and other department communications.
  • Compiling and updating monthly progress reports using data provided by department leadership.
  • Reconciling department and project budget statements for review, verification, and approval by the Director.
  • Maintaining an organized, secure, and accurate filing system in accordance with department standards.
  • Managing office supplies and equipment inventory, including verifying needs and replenishing supplies as necessary.
  • Transcribing digital dictation, meeting notes, and other information accurately.
  • Supporting the department's compliance with healthcare safety standards and Joint Commission requirements.
  • Identifying and promptly reporting environment-of-care safety concerns, including hazardous conditions and operational issues.
  • Maintaining a clean, organized, and safe work environment while supporting the day-to-day needs of the department.

To be considered for this opportunity, you must have a High School Diploma or equivalent and three to five years of previous related administrative experience. Proficiency with modern office software, including Microsoft Word and Excel and strong word processing, spreadsheet, data entry, and general administrative skills are required. You must possess excellent interpersonal and communication skills, with the ability to interact effectively and courteously with individuals across departments, outside organizations, and regulatory agencies. Preferred qualifications include previous experience working in a healthcare facility, architectural firm, facilities management office, or similar environment. Familiarity with Joint Commission codes, requirements, and healthcare environment-of-care standards is also a plus.
