Executive Assistant*This role is on-site, 5 days per week at the Paramount Lot, 5555 Melrose Ave facility.
Organization: Production PlatformReports To: EVP, Head of Production PlatformSummaryThe Executive Assistant will provide high-level administrative support to the Head of Production Platform. The EA will manage executive's schedules including booking in person and zoom meetings with internal or external attendees. This role requires strong organization skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The executive assistant will serve as a key point of coordination while maintaining professionalism, discretion, and confidentiality. Ability to effectively communicate via phone and email ensuring that all Executive Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities• Provide comprehensive calendar management, including scheduling complex meetings across time zones and prioritizing competing demands
• Promptly reply to email, telephone or face to face enquiries, as well as answer and direct phone calls
• Coordinate travel logistics including domestic and international flights accommodations and detailed itineraries
• Organize and schedule appointments/events, book conference calls, rooms, transportation, hotels etc.
• Submit and reconcile expense reports & prepare and monitor invoices
• Organize and support leadership meetings, including agenda creation, minute taking, action item tracking, and follow up
• Carry out administrative duties
• Generate reports; assist in the preparation of regularly scheduled reports
• Provide information by answering questions and requests for both internal and external individuals
• Handle various projects as needed by executive
• Handle sensitive and confidential information with the highest level of discretion
• Resolve administrative problems
• Greet and assist visitors to the studio
Qualifications- 5+years of experience as an Executive Assistant
- Knowledge of office management systems and procedures
- Strong of verbal and written communication
- Timely follow-up is essential to this role
- Exemplary time management skills and ability to proficiently prioritize tasks
- Attention to detail and problem solving skills
- Solid organizational and planning skills

ADDITIONAL INFORMATION
Hiring Salary Range: $85,000.00 - 100,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
