90,000.00 - 100,000.00 USDJob Summary/ Key Responsibilities: Provide indispensable administrative support to the President-synchronizing calendars, travel, meetings, and follow-ups; safeguarding seamless information flow; and coordinating with internal and external stakeholders-so every minute of the President's day is focused on advancing the business.
Key Responsibilities & Duties
Executive Support o Orchestrate a highly fluid, multi-time-zone calendar, anticipating conflicts and adjusting priorities in real time.
o Draft, refine, and proofread correspondence, presentations, reports, and briefing decks that reflect the President's voice and standards.
o Screen calls, emails, and mail; distill key points and flag urgent items to enable swift, informed decision-making.
Meeting Coordination o Schedule and facilitate executive sessions; prepare concise agendas, capture accurate minutes, and drive action-item closure.
o Plan and execute board meetings, quarterly business reviews, and high-profile client visits, ensuring flawless logistics and materials.
Travel & Logistics o Design comprehensive domestic and international travel plans-including itineraries and accommodations-and adjust seamlessly to last-minute changes in flights, weather, or market events.
Information Management & Research o Conduct focused research to support strategic initiatives and ad-hoc inquiries; summarize findings into clear, actionable briefs.
o Maintain confidential files and databases with uncompromising accuracy, security, and version control.
Internal & External Stakeholder Engagement o Welcome headquarters representatives, clients, vendors, and partners, delivering a polished, professional first impression of MSC USA.
o Serve as the President's liaison to internal teams and external stakeholders, conveying information diplomatically and ensuring timely follow-through.
o Arrange and manage dining reservations for business meals and client engagements, ensuring venue suitability, dietary preferences and seamless coordination with the President's schedule.
Other Duties - Handle special projects and urgent tasks as assigned, often under tight deadlines.
Qualifications & Key Competencies: Requirements
o A minimum of 3-5 years of executive-level administrative support, ideally for a Managing Director, CEO, or other C-suite leader.
o Associates degree required, bachelor's degree preferred.
o Mastery of Microsoft 365, virtual-meeting platforms, and travel/expense management tools.
o Demonstrated ability to manage highly sensitive information with discretion and sound judgment.
o Fluent in English, superior written and verbal communication skills, impeccable attention to detail
o Proven success thriving in dynamic environments where priorities shift rapidly and deadlines are non-negotiable.
Physical Demands o Prolonged periods of sitting at a desk and of standing
o Will have to move between floors in building
o Must be able to lift up to 15 pounds at a time
