Executive Assistant - JLLT

Location: Remote (CST or EST preference)

What this job involves:

This is a newly created Executive Assistant role designed to provide high-caliber support to a Portfolio leader within JLL's REMS Technology team. Launched as a pilot, this position explores a more flexible, modern approach to executive support-combining dedicated calendar and administrative management for a London-based leader with the capacity to flex across broader team projects and business priorities. Operating remotely with meaningful autonomy, you'll serve as a trusted partner who keeps priorities clear, deadlines met, and stakeholders aligned. This role requires someone who thrives in ambiguity, exercises sound judgment independently, and brings the professionalism and discretion expected at the executive level. What your day-to-day will look like:
  • You'll own end-to-end calendar management for a Portfolio leader, proactively resolving conflicts and prioritizing competing requests using independent judgment.
  • Arranging comprehensive travel logistics from start to finish will be a regular responsibility, ensuring seamless execution across geographies.
  • You'll prepare meeting agendas and materials, then track action items and follow-ups through to completion, holding stakeholders accountable.
  • Drafting, managing, and triaging correspondence on behalf of the leader will require discretion and professionalism.
  • Supporting cross-team projects and initiatives as assigned, you'll track deliverables and deadlines while maintaining organized systems for open items and commitments.
  • Providing flexible calendar and administrative coverage across the broader team as business needs require will keep you engaged with diverse priorities.
  • Exercise judgment to identify what needs escalation versus what you can resolve directly, acting with appropriate independence and anticipating needs before they're articulated.


Required Qualifications:
  • Prior experience supporting C-suite or senior leaders in fast-paced, global organizations with demonstrated success managing complex calendars and competing priorities.
  • Advanced proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint) and Microsoft Teams, with the ability to leverage these tools to drive efficiency.
  • Proven track record handling confidential and sensitive information with absolute discretion and sound judgment.
  • Demonstrated ability to build and sustain trust quickly with stakeholders across all organizational levels and geographies.
  • Flexibility to adjust working hours as needed to support a leader based in the UK, with comfort operating independently across time zones.
  • Strong problem-solving skills combined with a proactive, anticipatory mindset that identifies and addresses issues before they escalate.
  • Exceptional written and oral communication skills with the ability to represent leadership professionally and concisely in all interactions.


Preferred Qualifications:
  • Experience using AI tools and productivity platforms to streamline workflow, automate routine tasks, and enhance efficiency.
  • Background supporting leaders within real estate, technology, or professional services environments.
  • Familiarity with project management principles and tools that support cross-functional coordination.
  • Experience working in remote or distributed team structures with success maintaining accountability and connection across distances.
  • Exposure to international business operations and cultural fluency working with stakeholders across multiple regions.
  • Demonstrated ability to quickly learn new systems, tools, and processes with minimal training.
  • Track record of taking initiative to improve processes, systems, or workflows that benefit the broader team.

Estimated compensation for this position:

75,000.00 - 95,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
