Responsibilities

What you'll do:

Calendar Management and Meeting Logistics:

  • Expertly manage complex executive calendars across multiple time zones, proactively resolving conflicts and ensuring optimal prioritization of meetings and urgent priorities.

  • Prepare leaders for meetings by organizing agendas, briefing materials, and logistics, while capturing detailed notes and action items to ensure seamless follow-up and execution.

Event Coordination and Logistics:

  • Lead the planning, coordination, and execution of both virtual and in-person events—including off-sites, conferences, and business gatherings—by meticulously managing logistics, vendor and venue relationships, and contract negotiations to ensure seamless and impactful experiences.

  • Serve as the primary point of contact for all event-related communications, keeping stakeholders informed and aligned, and providing comprehensive briefings to ensure preparedness and success.

Cross-Functional Collaboration and Communication:

  • Act as a strategic partner to executive leadership by influencing priorities, managing cross-functional projects, and ensuring alignment and clarity across global teams.

  • Draft and coordinate internal communications, prepare presentations for org-wide meetings, and manage engagement to help leaders effectively communicate their vision and drive business goals.

Rhythm of Business:

  • Play a pivotal role in driving the rhythm of business for the leadership team by planning, coordinating, and executing key business cadences such as leadership meetings, offsites, town halls, and quarterly planning sessions.

  • Ensure leaders are well-prepared for all engagements through a proactive approach, anticipating needs and addressing potential challenges before they arise.

Financial Management:

  • Assist in monitoring and managing the budget for the leader, providing regular updates and insights to ensure alignment with financial goals. This involves collaborating with finance teams to track expenditures and forecast future budgetary needs.

  • Coordinate and manage the creation and processing of purchase orders, ensuring timely and accurate submission to support the operational needs of the leadership team.

  • Oversee and manage expense reports for the leader, ensuring compliance with company policies and timely reimbursement. This includes tracking expenses, preparing reports, and resolving any discrepancies.

 Travel Management:

  • Organize and manage all aspects of travel arrangements for the leader, including booking flights, accommodations, and transportation.

  • Develop detailed travel itineraries that align with the leader's schedule and priorities, ensuring efficient use of time and resources during trips.

Atlassian is committed to supporting your career growth within Leadership Operations. We provide transparent role expectations and well-defined progression paths, including opportunities to lead key projects, drive strategic initiatives, and take ownership of LO programming.
