WHAT YOU'LL BE DOINGWe are seeking a dynamic, organized, self-starter to serve as Executive Assistant to the VP/GM, Service with additional support for the CPI Mount Prospect site. The ideal candidate will possess exceptional organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. The Executive Assistant must exhibit professionalism, discretion, and the capacity to handle confidential information with sensitivity.
The Executive Assistant will have a strong partnership with the senior leaders and onsite executive assistants, and will be responsible for:
- Providing high-level administrative support to senior leaders, including calendar management, email prioritization, travel coordination, visa support, expense reporting, correspondence, and follow-up on key priorities.
- Prepare, proofread, assemble, and distribute executive-level materials, including presentations and documents for the CPI Senior Leadership Team.
- Lead all site philanthropy and community engagement initiatives, including employee volunteer programs, while serving as Chair of the Crane Charitable Fund and the primary liaison for charitable activities for the Mount Prospect site.
- Develop and maintain professional PowerPoint presentations, Excel spreadsheets, reports, and other business documents that support executive decision-making and division priorities.
- Coordinate key process timelines, materials, and distribution through Teams and SharePoint to ensure accurate, timely delivery of information to executives.
- Plan and manage logistics for executive meetings, events, onboarding activities, off-site orientations, conference rooms, catering, hotel accommodations, transportation, and related materials.
- Partner with CPI's Senior Leadership Team and key stakeholders to support business communications, including drafting, posting, and distributing messages for leadership forums and all-hands meetings.
- Manage all travel and logistics for Service Technician training programs in Mount Prospect, including traveler profiles, flights, hotels, ground transportation, and catering. Provide ongoing support to trainees and instructors by resolving travel-related issues and ensuring smooth program execution from start to finish.
- Provide administrative support including calendar assistance, data entry, document preparation, filing, scanning, and copying
- Build strong working relationships with leaders, employees, external partners, executive assistants, and global HR stakeholders to enable effective collaboration across the organization.
- Act as a proactive problem solver, trusted liaison, and flexible support resource across executive administrative responsibilities and global HR initiatives.
WHO WE ARE LOOKING FOR Basic Qualifications - Must have experience in supporting a senior executive in a fast-paced and demanding corporate work environment
Preferred Qualifications - Bachelor's Degree and 5 to 7 years of relevant professional experience supporting a C-level executive in a global company
- Ability to be comfortable with ambiguity and capable of making appropriate decisions independently
- Demonstrated professionalism, discretion, and experience in working with highly confidential information
- Can-do attitude: must be proactive and solution oriented, continuously looking for ways to add value and assist the team
- Exceptional attention to detail
- Ability to effectively communicate and collaborate with a diverse range of people and job functions
- Exercise excellent judgment in setting priorities and interacting with internal and external contacts

- Strong focus on customer service, team player mentality, and ability to work collaboratively with others
- Expert capabilities on all Microsoft products including PowerPoint, Excel, Word, Outlook, and Teams with prior experience with Diligent and Concur a plus
