We're looking for a highly organized and proactive Executive Administrative Assistant. Reporting to the President of ecobee, you’ll play a key part in keeping our leaders focused and effective by providing thoughtful, confidential support with professionalism and sound judgment.
You’ll be a trusted partner who represents the organization with trust and discretion when working with executives, clients, and Board Members. From coordinating meetings and managing priorities to supporting special projects, you’ll help ensure everything runs smoothly and communication across stakeholders is seamless.
Major ResponsibilitiesProvides complex administrative support
Serves as professional point of contact with internal/external stakeholders, handling sensitive information with discretion
Manages and screens all forms of communication including answering e-mails, taking messages, and responding to correspondence as appropriate
Maintains complex executive calendars, priorities, and schedules appointments, conferences, and events; including making travel arrangements and preparing business expense reports
Plans and coordinates major business group events
Prepares letters and correspondence upon request
Oversees conference room reservations, coordinates audio/visual equipment with participants in multiple time zones, and catering
Creates PowerPoint presentations for all members of the Executive Team
Records, transcribes, and distributes meeting minutes
Maintains centralized supplies inventory by checking stock to determine inventory level, anticipating needed supplies
Evaluates new office products, places and expedites orders for supplies, and verifies receipt of supplies
Approves PTO time
RequirementsAssociate Degree in Business or similar
5 years of experience working in an Administrative Support role
2 years of experience as Executive Assistant
Proficient in Microsoft Office Suite
Discretion when handling sensitive and confidential information
Strong planning and prioritization skills; comfort with fast-paced, deadline-driven work
Preferred Job RequirementsBachelor’s degree
3 + years’ experience providing administrative support at an Executive level
Requires excellent communication skills, including demonstrated skill in drafting “executive-level” correspondence, along with a strong desire to learn and assist with all general corporate functions
Requires attention to detail and organizational skills
Possesses confidence and ability to make decisions and prioritize independently
Able to work in a fast-paced environment as part of a cohesive team to meet critical deadlines
Previous experience in coordinating international travel, preferred
Previous experience using SAP or equivalent ERP

Generac is committed to fair and equitable compensation practices. The salary range for this role based in Toronto, ON is $100,000 - $120,000 CAD. This compensation will ultimately be in line with the location in which the position is filled. Final compensation for this role will be determined by various factors such as a candidate’s relevant work experience, skills, certifications and geographic location. This role is eligible for variable compensation including short term and long-term incentives.
