Summary:The Employment Claims & Immigration Administration Paralegal provides high-level paralegal, case management, and operational support to the Legal Department, with primary responsibility for employment claims management and litigation support, including administrative charges, demand letters, internal investigations support, litigation coordination, document preservation, case file management, deadline tracking, reporting, and coordination with internal stakeholders and outside counsel. The role also provides secondary support for administration of the organization's employment-based immigration program, including sponsored foreign national employee matters, documentation coordination, compliance tracking, and communication with outside immigration counsel.
This position serves as a key operational partner to Employment Counsel, HR, Compliance, Talent Acquisition, Workforce Operations, and departmental leaders to ensure timely claim response, accurate recordkeeping, defensible documentation, regulatory compliance, and consistent communication across employment claims and immigration-related matters.Type of Opportunity: Full timeJob Exempt: YesJob is based: Reverend Hugh Cooper Administrative CenterWork Shift: Days (United States of America)
Responsibilities:Employment Claims & Litigation Support- Support employment claims, agency charges, investigations, and litigation matters.
- Maintain case files, matter tracking, deadlines, and reporting.
- Coordinate document preservation, collections, discovery, and outside counsel activities.
Immigration Administration- Coordinate employment-based immigration cases, including visa sponsorship and permanent residency matters.
- Partner with HR, employees, and outside counsel to manage case documentation and timelines.
- Support compliance, reporting, audits, and expiration tracking.
Program Operations- Maintain and improve SOPs, workflows, templates, and tracking tools.
- Support training and process improvement initiatives across HR and related functions.
Decision-Making- Independently manage case coordination and process execution.
- Escalate legal strategy, compliance concerns, and high-risk matters to Employment Counsel.
Qualifications:- Associate degree or equivalent experience required; Bachelor's degree preferred.
- 3+ years of paralegal, litigation support, employment claims, HR compliance, or related experience, with meaningful exposure to employment claims/litigation support; immigration coordination experience preferred.
- Demonstrated experience managing sensitive confidential information and complex deadlines across multiple matters.
Preferred
- Paralegal certificate.
- Prior experience in healthcare, employment claims administration, litigation support, and/or supporting physician/provider immigration pipelines.
- Experience with legal matter management systems and/or immigration case management platforms.
Knowledge, Skills & Abilities
- Strong working knowledge of employment claims, agency charge processes, litigation support workflows, document preservation, and matter management practices.
- Ability to manage competing deadlines and maintain high accuracy in documentation.
- Exceptional communication skills-clear, professional, and discreet, particularly when coordinating sensitive employment claims, internal stakeholder requests, and sponsored employee communications.
- Strong analytical and organizational skills; ability to build trackers, dashboards, and process tools.
- Proficiency in Microsoft 365 (Excel, Outlook, Teams, SharePoint) and document management best practices.
- Discretion, sound judgment, and comfort handling sensitive employment and immigration topics.
