Full Job Description
The Docketing Analyst will provide daily detailed, accurate information to IP attorneys and staff regarding client information and deadlines, assisting the overall effective operations of the Docket Department. The Docketing Analyst maintains their assigned docket portfolios, including complex and high-visibility clients and matters, according to established policies and procedures, and performs all job functions for review of documents in alignment with established process and procedure, and exercises discretion and confidentiality in maintaining contact with clients, attorneys, and staff for docket-related matters. The Docketing Analyst works closely with all Docket team members to meet the goals of the firm.

Essential Duties and Responsibilities:
  • Read, sort, and distribute incoming mail, either from the U.S. Patent and Trademark Office "USPTO," all other foreign government agencies, and/or foreign associates in a timely manner and in accordance with established procedures.
  • Ensure daily full docket clearance, including monitoring workflow and maintaining the integrity of the filing logs in accordance with established policies and procedures.
  • Provide guidance and respond to more complex docket-related questions and problems from the IP team of attorneys and staff.
  • Maintain an accurate docket database and provide reports as required.
  • Save client and legal documents to PATTSY; upload images to matter-level PATTSY page.
  • Process abandoned and/or inactive files.
  • Maintain and distribute an electronic global docket calendar, as assigned, for domestic/international patents, trademarks and inter-parties and as required within established guidelines and procedures.
  • Maintain positive contact with attorneys, staff and clients and observe confidentiality of the Docket Department and firm's clients.
  • Ensure the accuracy and completeness of docketing of documents received from the USPTO within the requirements set by the Code of Federal Regulations, clients, all other foreign government agencies, and/or foreign associates.
  • Maintain e-files through the firm's IP Management System/iManage integration.
  • Lead various audits, including auditing US pair inconsistencies, bibliographic audits, and PTO audits for formalities, as needed and assigned.
  • Lead the team in completing successful mass updates, such as mass bibliographic data updates; assist with intakes, as needed and assigned.


Knowledge, Skills and Abilities:
  • In-depth knowledge of both US and international country trademark law with ability to immediately apply knowledge to docket actions.
  • Strong knowledge of docket software applications.
  • Excellent proofreading skills.
  • Ability to identify and analyze complex issues and problems with managing data, including ability to identify discrepancies in audits and biographical data and recommend effective resolution.
  • Effective communication skills, both verbal and written.
  • Ability to work under pressure while producing a high volume of information with a high level of accuracy.
  • Strong attention to detail.
  • Ability to work independently and as a strong team member.
  • Ability to work closely with all departments in understanding their processes in order to assist with the day-to-day operations of the IP and HSIP Practice Groups.
  • Effective interpersonal skills to be able to communicate and follow instructions effectively from a diverse group of attorneys and staff.
  • Ability to multi-task, work independently with limited supervision, and work under pressure with high-quality results.
  • Proficient in Microsoft Office Suite.


Education and/or Experience:
  • High school degree or equivalent. College degree or equivalent specialized training (ex, paralegal studies) beneficial.
  • Minimum of five (5) years of progressive Intellectual Property docketing experience in Trademark.
  • Strong experience with domestic and foreign trademark and TTAB matters.
