Title: Intake Director, PCS Reports To: President, Long Island PCS Division Supervises: Intake Coordinators, Account Managers, Outreach Specialists Salary: $120,000-$140,000 JOB SUMMARY: The Director of Intake is responsible for driving client growth through proactive relationship building, strategic outreach, and a relentless focus on hitting intake targets. This is not a purely administrative role - the right candidate is sales-minded, resourceful, and constantly identifying new avenues to bring clients into the organization. Alongside the growth mandate, this role oversees the intake function operationally, managing staff, processes, and systems to ensure referrals convert efficiently and nothing falls through the cracks. ESSENTIAL DUTIES AND RESPONSIBILITIES Growth, Outreach & Relationship Development • Own the organization's intake volume targets - tracking performance against goals proactively and taking initiative to close gaps before they become problems. • Build and maintain relationships with referral sources, community partners, healthcare providers, and other external stakeholders that generate a consistent pipeline of new clients. • Continuously identify and pursue new referral channels and client acquisition pathways - thinking creatively about where clients come from and what relationships the organization should be cultivating. • Develop and execute outreach strategies targeted at high-value referral sources, including in-person visits, follow-up cadences, and relationship maintenance activity. • Collaborate with clinical and operational leadership to ensure the organization's service capabilities are effectively communicated to referral partners and prospective clients. • Report regularly on intake volume, referral source performance, conversion rates, and pipeline activity - bringing data and a point of view to leadership rather than waiting to be asked. Intake Operations & Staff Management • Directly supervise intake staff, providing day-to-day guidance, performance management, and professional development support. • Assist with hiring, onboarding, and ongoing training of intake staff, with an emphasis on building a team that is both process-disciplined and client-oriented. • Oversee all intake processes and systems, evaluating accessibility and effectiveness and implementing improvements to maximize conversion speed and accuracy. • Create and maintain an intake manual that documents workflows, standards, and protocols across service lines. • Coordinate intake schedules and calendars to ensure adequate coverage across office and off-site locations. • Ensure proficiency across intake technology platforms and maintain accurate intake data for reporting and performance tracking. QUALIFICATIONS / EDUCATION • Bachelor's degree required or equivalent education and experience. • Demonstrated track record of hitting growth or volume targets in a client-facing, sales, or business development role - healthcare or social services experience strongly preferred. • Strong relationship-builder who is proactive, personable, and comfortable initiating and maintaining external partnerships. • Prior supervisory experience preferred. • Excellent problem-solving skills with the ability to manage multiple priorities efficiently. • Strong analytical skills; comfortable working with intake data, conversion metrics, and referral source reporting. • Proficiency in Microsoft Office (particularly Excel) and computerized intake or EHR systems. • Excellent communication and organizational skills.
