Purpose

This position will be responsible for the administration, management, and continual improvement of the Minuet database, which serves as the central repository for agreements, finance, intellectual property, and compliance data. The role is essential to ensuring that Minuet remains a user-friendly, accurate, and secure resource that supports operational needs across compliance, finance, agreements, patent prosecution, and reporting. The specialist acts as the primary owner of Minuet, proactively maintains its functionality, interfaces with stakeholders and vendors, and ensures regulatory compliance and optimal data management practices

Responsibilities
  • Database Administration & Management: Oversee all aspects of Minuet database operations, including upgrades, fixes, patches, field/view organization, and data integrity. Proactively monitor system performance, troubleshoot issues, and liaise with vendor support (Inteum) as needed. Maintain compliance with institutional and federal regulations.
  • Project Management & Stakeholder Liaison: Serve as the internal and external liaison for database-related projects, gathering business requirements, analyzing workflows, developing solutions, managing communications, and tracking progress. Collaborate with cross-functional teams and represent the organization in vendor interactions.
  • Reporting & Data Analysis: Design, implement, and manage complex reports and business intelligence tools using Minuet. Analyze data metrics, create custom queries, and provide ad-hoc or dashboard reporting for leadership and end-users. Conduct data audits to ensure accuracy and support compliance activities.
  • Training & Support: Develop and deliver training materials and sessions for Minuet users. Provide ongoing technical support, educate users on system workflows and new functionality, and promote broad usage of database features within the organization.
  • Compliance, Policy, Documentation: Support compliance activities, including invention reporting and documentation for federal grants and contracts. Maintain awareness of policy changes and ensure timely submission of required reports. Monitor research trends, implement improvements, and develop policies and procedures to enhance the efficiency, integrity, and expansion of Minuet's usage.
  • Other Duties: Perform additional responsibilities as assigned by the Assistant Vice President for Technology Transfer.


Required Qualifications
  • Bachelor's Degree in Information Technology, Computer Science, or other relevant engineering, science, or business field.
  • Minimum 2 years of direct analytical/database management experience in a customer-facing role, preferably in academic or healthcare environments.
  • Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint). Experience with enterprise applications and report generation.
  • Knowledge of basic principles of intellectual property and licensing.
  • Demonstrated project management skills and experience collaborating with cross-functional teams. Ability to work independently and as part of a team in a fast-paced environment.
  • Must be a highly self-motivated professional with exceptional ability to identify priorities and complete projects. Capable of simultaneously managing multiple projects with a portfolio at different stages of execution.
  • Excellent oral and written communication skills; ability to negotiate and communicate with all levels of staff. Strong attention to detail, ability to multitask, troubleshoot, prioritize work, and manage confidential information.

Preferred Qualifications (candidates need not have all of these qualifications to apply)
  • More than 2 years of direct analytical/database management experience in a customer-facing role, preferably in academic or healthcare environments.
  • Certification of formal training in business analysis or project management.
  • Prior experience managing IP databases and compliance activities.
  • Familiarity with SQL and data query languages.
  • Experience designing and implementing business intelligence reports.
  • Demonstrated ability to innovate solutions, raise the bar, and contribute to continuous improvement.
  • Experience working with external vendors for database solutions (Inteum/Minuet preferred).
  • Experience developing and delivering technical training for database users.


Salary Range

$90,000+ depending on qualifications
