Job Title: Creative Operations Senior Associate

Position Summary:

Join us as we work to create a thriving ecosystem that delivers accessible, high-quality, and sustainable healthcare for all. The Creative Operations Senior Associate will be a hands-on operator who ensures the creative team runs smoothly. This role will manage day-to-day creative intake, support resource allocation and bandwidth management, and partner closely with creative leads, project management, and stakeholders to keep projects on time. This role reports to the Creative Operations Senior Manager.

Essential Job Responsibilities:
  • Intake & Assignment: Review incoming creative briefs for completeness and accuracy; log missing information and follow up proactively so briefs are fully actionable. Help assign requests to creatives based on required skillset and current bandwidth, and ensure each project includes full brief details, required assets, deadlines, and supporting files.
  • Capacity & Resourcing: Maintain capacity dashboards in Monday.com and provide resourcing updates to balance workload and support prioritization.
  • Project Coordination with PMs: Coordinate timing and handoffs with the Project Management team for day-to-day production across digital, print, video, and events; keep schedules aligned and confirm resource coverage for each deliverable.
  • Status Tracking & Escalation: Track project status, dependencies, and risks; surface at-risk items and escalate blockers to leads and the Creative Operations Senior Manager, to keep work on schedule.
  • Process Improvement & Tooling: Identify day-to-day operational inefficiencies, recommend improvements, and help implement new processes or workflows to increase throughput and reduce friction.


Expected Education & Experience:
  • Bachelor's degree in Business Administration, Operations Management, Marketing, Communications, or related fields.
  • 3-5 years of experience in creative operations, project management, or a similar role, preferably within a marketing agency or a large, fast-paced client-side environment.
  • Experience managing high-volume creative workflows across digital, print, and video.
  • Proficient with project management tools, like Monday.com.
  • Demonstrate a proactive mindset, anticipate risks and information gaps, proactively follow up with stakeholders, and drive issues to resolution to keep briefs and projects fully actionable.
  • Comfortable working in a fast-paced environment and escalating issues appropriately to keep work on schedule.
  • Strong organizational skills with attention to detail and ability to manage multiple concurrent requests.
  • Excellent verbal and written communication skills; comfortable coordinating with stakeholders and PMs.
  • Basic knowledge of design/file formats, export specs, and production processes.


Nice to have:
  • Experience working in a complex industry (healthcare, finance, insurance, tech) is a plus
  • Experience with digital asset management systems like Bynder is a plus


Expected Compensation
$72,000 - $122,000
The base salary range shown reflects the full range for this role from minimum to maximum. At athenahealth, base pay depends on multiple factors, including job-related experience, relevant knowledge and skills, how your qualifications compare to others in similar roles, and geographical market rates. Base pay is only one part of our competitive Total Rewards package - depending on role eligibility, we offer both short and long-term incentives by way of an annual discretionary bonus plan, variable compensation plan, and equity plans.
