Geotab is seeking a Corporate Real Estate, Project Lead who will manage and coordinate all real estate projects outside of the Oakville headquarters, serving as the primary point of contact for Office Experience project oversight. What you'll do:

As a Corporate Real Estate, Project Lead your key area of responsibility will be to manage and coordinate all real estate projects outside of the Oakville headquarters, serving as the primary point of contact for Office Experience project oversight. This role requires close collaboration with cross-functional internal departments, including IT, Security, Communications, and People Operations, to ensure seamless project execution. Additionally, the role involves regular engagement with external vendors to manage relationships, deliverables, and timelines effectively. The Corporate Real Estate Project Lead partners with cross-functional teams to deliver assigned projects on time, on budget, and aligned with company standards.

How you'll make an impact:
  • Lead and manage a wide range of global office projects, including office openings, closings, moves, and other miscellaneous initiatives
  • Collaborate on change management activities for office transitions, including stakeholder communication plans, employee readiness assessments, and coordination with Communications and People Operations to minimize disruption during relocations, openings, and closures.
  • Ensure projects are completed on time and within budget , assist budget creation as required.
  • Serve as a Subject Matter Expert (SME), providing guidance and support to ensure completion of Office Experience tasks throughout the project lifecycle.
  • Review and interpret lease agreements with the help of the legal team to ensure project activities comply with contractual obligations.
  • Coordinate and problem-solve with cross-functional teams, including IT, networking, and physical security, to address project gaps and ensure seamless execution.
  • Work with leadership to develop and implement standardized processes and best practices for office projects to improve efficiency and consistency across all global locations.
  • Working with leadership and stakeholders to evaluate potential properties for technical fit, headcount requirements, and budget viability.
  • Collaborate with procurement to manage RFPs and competitive proposals for office services.
  • Ensure design compliance with corporate brand standards, accessibility requirements, and sustainability goals.
  • Conduct site visits, track progress against schedule, and manage change orders.
  • Coordinate operational readiness: IT infrastructure, security systems, AV, and furniture installation.
  • Manage decommissioning and space restoration per lease obligations, as required.
  • Anticipate potential project risks - such as vendor delays, supply chain disruptions, or budget variances - and develop contingency plans to maintain project timelines and cost targets.
  • Track budgets, manage purchase orders, and control scope creep across concurrent projects.
  • Manage and track global lease agreements, including monitoring key dates and details to ensure timely renewals and compliance.
  • Ensure all vendors meet contract terms, carry required insurance, and comply with safety standards.
  • Serve as the RBAC (Role-Based Access Control) owner and champion, ensuring proper access and security protocols are followed.
  • Oversee the setup of all workspaces to ensure they comply with health and safety standards and regulations.

What you'll bring to the role:

  • 6+ years of experience in a related field
  • Experience managing office or construction projects from approval through delivery.
  • Strong vendor management and contract negotiation skills.
  • Ability to manage multiple projects simultaneously across different geographies.
  • Demonstrated financial management skills, including budget development, expense oversight, and cost control.
  • Strong risk management skills with the ability to identify, assess, and mitigate project and operational risks.
  • Strong attention to detail, organization and time management skills with the ability to prioritize competing demands and meet deadlines across multiple concurrent initiatives.
  • Strong communicator, comfortable presenting to and partnering with senior leadership.
  • Excellent written and verbal communication skills with the ability to build relationships across all levels and cultures.
  • A proactive, solutions-oriented approach - you identify what needs to be done and take ownership without being directed.
  • Ability to handle sensitive topics with discretion, empathy, and cultural awareness.
  • Comfort working with global and remote teams across multiple time zones.
  • Proficiency in Google Workspace and project management tools.
  • PMP, FMP , or autocad equivalent certification is an asset.

The annual base salary for this position is the expected annual salary for this role, and may be subject to change. Geotab offers various perks and benefits and other compensation components that an individual may be eligible for. The actual base salary for this position depends on a variety of factors such as but not limited to skills, qualifications, education and overall experience, including the location the applicant lives while performing the job. This also includes equity with other team members and alignment with local market data. All offers of employment are contingent upon proof of eligibility to work and the individual's ability to pass a background check.

Hiring Range

$104,400-$125,000 CAD
