We are currently seeking a Contracts and Commercial Services Coordinator - Remote to join our team in Burnaby, British Columbia (CA-BC), Canada (CA).

Contracts and Commercial Services Coordinator

Position Summary

The Contracts and Commercial Services Coordinator provides administrative, coordination, and commercial support across contract management, software license renewals, vendor agreements, project work orders, NDAs, and related commercial activities.

The role works closely with Procurement, Finance, Legal, Commercial, Project Management, vendors, and other internal stakeholders to ensure contracts and related documentation are accurate, complete, properly approved, and executed on a timely basis.

The successful candidate will have strong attention to detail, excellent organizational and follow-up skills, and the ability to manage multiple priorities in a fast-paced environment. Experience with IT services agreements, software licensing, vendor contracts, and contract administration is highly desirable.

The role requires proficiency with Microsoft Office 365, SharePoint, and DocuSign, as well as the ability to work comfortably with commercially sensitive and confidential information.

Key Responsibilities

Contract Administration and Document Management
  • Maintain accurate and organized records of contracts and commercial documentation, including vendor agreements, project contracts, work orders, NDAs, order forms, change orders, and related documents.
  • Maintain contract trackers and databases, ensuring information is accurate, complete, and up to date.
  • Manage contract documentation through SharePoint, including document organization, access requests, and permissions.
  • Ensure executed agreements and supporting documentation are stored appropriately and are readily accessible to authorized stakeholders.
  • Perform document comparisons and identify changes, discrepancies, or inconsistencies between contract versions.
  • Maintain confidentiality and appropriate controls over commercially sensitive information.


Software License Renewals and Vendor Management
  • Track software licenses, contract expirations, and renewal deadlines to support proactive renewal planning.
  • Gather renewal requirements and business needs from internal stakeholders.
  • Request and review vendor renewal quotes against documented requirements, existing agreements, and business needs.
  • Coordinate with Procurement, Finance, Legal, Commercial, and Project teams to ensure renewal terms and pricing meet organizational and contractual requirements.
  • Support the execution of software renewals and assist with purchase order requests and related procurement activities.
  • Monitor vendor service-level performance and escalate issues or support the development of corrective actions where required.
  • Maintain accurate renewal records and provide reporting on upcoming renewals, status, risks, and outstanding actions.


Project Work Orders and Contract Review
  • Review project work orders, statements of work, contracts, and related commercial documentation for completeness and alignment with established requirements.
  • Identify potential issues such as inconsistent terms, missing information, approval gaps, compliance concerns, or discrepancies between related documents.
  • Coordinate with Contract Leads, Project Managers, Finance, Legal, Procurement, and Commercial teams to resolve contract-related issues.
  • Support contract review and approval workflows to help ensure agreements are executed within required timelines.
  • Track outstanding actions and follow up with stakeholders to drive timely completion.


Commercial and Contract Coordination
  • Coordinate the HA site change process, including communication and follow-up between relevant internal and external stakeholders.
  • Prepare contract briefing materials and supporting documentation for internal approvers and authorized signatories.
  • Raise and manage support requests with Procurement to initiate vendor contract review and signature processes.
  • Coordinate contract execution activities across Procurement, Finance, Legal, Commercial, Project, vendor, and client teams.
  • Monitor contract execution progress and escalate delays, missing approvals, or documentation issues.
  • Support the preparation of contract summaries, status reports, trackers, and other commercial reporting.
  • Provide general administrative and coordination support to Contracts, Commercial, Procurement, Finance, and Legal teams.
  • Perform other related duties and responsibilities as assigned.


Required Qualifications and Experience
  • Bachelor's degree required.
  • 1-5 years of relevant experience in contract administration, commercial administration, procurement, business administration, or a related field.
  • Experience within an IT services, managed services, consulting, outsourcing, or enterprise technology environment is preferred.
  • Familiarity with IT services agreements, software licensing agreements, vendor contracts, NDAs, work orders, and contract management processes is an asset.
  • Experience working with contract management, procurement, or document management processes is preferred.

Preferred Qualifications
  • Experience supporting contracts within a large enterprise or multinational organization.
  • Familiarity with procurement and purchase order processes.
  • Experience supporting software or technology license renewals.
  • Exposure to contract lifecycle management (CLM) tools or commercial management systems.
  • Understanding of basic commercial and contractual concepts.


Pay Transparency

Where required by law, NTT DATA provides a reasonable range of compensation for specific roles. The starting pay range for this remote role is $72,900-$108,900. This range reflects the minimum and maximum target compensation for the position across all US locations. Actual compensation will depend on a number of factors, including the candidate's actual work location, relevant experience, technical skills, and other qualifications.
