Description

Reporting to the Senior Vice President and Enterprise CFO, the Chief of Staff serves as a strategic integrator and operational partner, ensuring alignment, coordination, and execution across the Enterprise CFO's portfolio. This role supports a broad and complex set of functions across Emory University and Emory Healthcare (EHC), including University and EHC finance, University's Office of Information Technology, ERP and transformation initiatives, investment office coordination, and the Emory Health Plan.

The Chief of Staff enables effective governance, privatizations, and decision-making by coordinating across senior leaders, managing operating cadence, and maintaining visibility into enterprise priorities, including support for Board-related activities.

The Chief of Staff also supports policy governance and operational effectiveness across the Finance Division and the broader Enterprise CFO portfolio by overseeing policy coordination, implementation, stakeholder engagement, compliance monitoring, and continuous process improvement efforts.

JOB RESPONSIBILITIES:

Enterprise Coordination and Alignment:
  • Coordinates priorities and initiatives across functions reporting to the Enterprise CFO.
  • Ensures alignment of timelines, ownership, and deliverables.
  • Identifies dependencies, risks, and competing priorities and facilitate resolution.

Executive Operating Cadence and Governance
  • Manages the Enterprise CFO's operating cadence, including weekly updates, monthly reviews, and quarterly planning sessions.
  • Organizes leadership meetings and governance forums.
  • Ensures meetings are structured, decision-oriented, and result in clear follow-up actions.

Priority and Portfolio Management
  • Maintains a consolidated view of enterprise initiatives and priorities.
  • Supports sequencing, privatizations, and alignment of work across functions.
  • Elevates risks, bottlenecks, and resource constraints.

Enterprise Initiative Oversight
  • Supports coordination and visibility for major initiatives, including ERP and transformation efforts.
  • Tracks milestones, risks, and cross-functional dependencies.
  • Ensures alignment with enterprise priorities.

Decision Support and Board Coordination
  • Prepares executive briefings, summaries, and presentation materials.
  • Coordinates development of materials for Board and Board committee meetings.
  • Supports preparation and alignment for Board committee discussions, including pre-meetings and follow-up tracking.
  • Reviews and consolidates input from multiple stakeholders into clear, concise materials for executive and Board audiences.

Finance Division Communications, Training, and Change Management
  • Coordinates communications across the Finance Division to ensure clarity and alignment.
  • Supports leadership messaging, organizational updates, and executive materials.
  • Facilitates training and capability-building efforts aligned with new systems and processes.
  • Supports change management efforts, including stakeholder coordination and adoption tracking.

Policy Governance, Compliance, and Continuous Improvement
  • Oversees the governance, coordination, and execution of Finance Division policies, ensuring policies remain current, effective, and aligned with institutional objectives and regulatory requirements.
  • Supports policy development, review, implementation, and monitoring activities across functions within the Enterprise CFO portfolio, including Finance, Information Technology, Investments, ERP and transformation initiatives, and other assigned areas.
  • Partners with policy owners and subject matter experts to facilitate stakeholder engagement, communication, training, and adoption of new or revised policies.
  • Establishes and maintains policy governance processes, including review cycles, approval work-flows, documentation standards, and accountability mechanisms.
  • Monitors policy implementation and compliance, identifies gaps or risks, and coordinates corrective actions and improvement plans as needed.
  • Promotes consistency and alignment across university administrative policies and procedures while balancing operational needs and institutional requirements.
  • Tracks policy related initiatives, implementation progress, and key performance indicators, providing regular updates to the Senior Vice President and Enterprise CFO and leadership teams.

Organizational Structure
  • The Chief of Staff is supported by a small team responsible for executive coordination, communications, training, and change management. This structure enables effective execution, alignment, and engagement across the Enterprise CFO's portfolio and the Finance Division.
  • Performs additional related responsibilities as required.


MINIMUM QUALIFICATIONS:
  • Bachelor's degree in Business Administration, Public Administration, or related field.
  • Ten years of experience in operations, program management, strategy, or related areas, including experience supporting senior executives in complex, matrixed organizations.
  • Excellent verbal and written communication skills, including the ability to synthesize complex information into clear, concise messaging.
  • Experience in supporting enterprise initiatives or transformational programs; and experience coordinating communications, training, or change management efforts.
  • Preferred qualifications include experience in healthcare, higher education, or large nonprofit organizations.
  • Demonstrated ability to collaborate effectively across diverse groups of stakeholders, including senior leadership, academic units, healthcare operations, and administrative functions strongly preferred.
