Full Job Description
Location: United States-Remote

Department: Integrations

Position Type: Full Time-Exempt

The Change & Enablement Project Manager is responsible for the individual projects within that portfolio, ensuring each is delivered on schedule and that affected employees are prepared to use each new capability when it is implemented.

JOB RESPONSIBILITIES:

Project Delivery
  • Run each assigned project through the AI program lifecycle, from intake and definition through sustained operation, using the program's project brief, RAID log, and status templates.
  • Own the project schedule against its agreed delivery slot. Changes inside the slot are the Project Manager's call. Anything that moves a governance gate date, or crosses into another slot, is escalated to the Director of AI Programs.
  • Maintain the RAID log (risks, assumptions, issues, dependencies) for every assigned project, dated and owned, and escalate early rather than at the deadline.
  • Own weekly status reporting for every assigned project to provide a consistent, timely, and complete view of delivery health.
  • Prepare the transition to sustained operation before a project leaves the active register: named maintainer, second maintainer, rules owner, and review date.

Vendor and Partner Delivery
  • Run the vendor-delivered AI initiatives in the portfolio as projects, with schedule, milestones, acceptance criteria, and weekly status held to the same standard as internally built work.
  • Hold vendors and external engineering partners to written commitments and hand-off dates, and escalate issues through the Director of AI Programs.
  • Coordinate vendor onboarding requirements including data access, environments, and testing.
  • Own the Engage PEO side of every vendor deployment: readiness, pilot, training, and adoption, so a vendor go-live becomes a capability in daily use.
  • Coordinate commercial and contract terms.

Change Management and Adoption
  • Plan and run the change, communication, and training work for each project, inside the organization-wide change plan.
  • Recruit and support the pilot cohort and departmental champions, and track ongoing adoption after go-live.
  • Work with business leaders to redesign the affected process so the new capability fits how the work is actually done, and document the before and the after.
  • Deliver or coordinate training, including train-the-trainer sessions and quick-reference material, and keep it current as capabilities change.

Baseline, Measurement, and Benefits Realization
  • Make sure a sourced baseline is captured for every project before design begins, using the method the program standard requires.
  • Record two consecutive measured periods after go-live and put the results in front of the business owner and Finance for benefit sign-off.
  • Draft the recurring one-page program report from the register for the Director of AI Programs to review.

Cross-Functional Coordination and Reporting
  • Coordinate business requirements with stakeholders and external partners so commitments, timelines, and hand-offs are clear and documented.
  • Represent assigned projects in the weekly pipeline review and, when asked, in program steering.
  • Align project dates with departmental peak periods, including open enrollment, year-end payroll, and benefits renewals, and with the database-migration and acquisition-integration calendars.

Data Stewardship, Security, and AI Governance
  • Ensure each project handles PII, PHI, and other sensitive worksite-employee data in accordance with the security, privacy, and compliance requirements of Engage PEO.
  • Confirm that data review and compliance approvals are recorded and complete before the relevant governance gate.
  • Follow and help improve the program's intake standards, acceptable-use and human-in-the-loop controls, and documentation.

OTHER DUTIES & RESPONSIBILITIES:
  • Projects as assigned to drive business objectives.

MINIMUM QUALIFICATIONS:
  • Bachelor's degree or equivalent professional experience.
  • Demonstrated experience managing projects end to end: scope, schedule, risk, stakeholders, and delivery, in a business or technology environment.
  • Experience leading change, communication, or training work that changed how a team does its job, with a clear account of what worked and what did not.
  • Experience managing external vendors or delivery partners against a schedule and written commitments.
  • Comfortable using AI tools in daily work and curious about how they work. Hands-on building is not required, but should be able to explain, at a working level, what an AI capability does and where it can fail.

PREFERRED QUALIFICATIONS:
  • Experience in a PEO, HRIS, or payroll and benefits technology environment. Highly regarded.
  • Direct experience with AI: piloting or rolling out AI tools, configuring agents, skills, or prompts, or running an AI adoption effort. Highly regarded.
  • Experience working alongside a technical delivery team or an external engineering partner.
  • Working knowledge of Smartsheet and Microsoft 365. Confluence and Jira are useful.
  • Exposure to M&A systems integration or large-scale system migration.
  • Experience operating in a regulated or security-sensitive environment.
  • Project management certification, such as PMP, is welcome but is not required for this role.
