Business Operations Program Manager

Bellevue, WA (Hybrid)

FT- Direct hiring w/benefits

Key Responsibilities

Operational Reporting & Alerts
  • Track and report on vendor and team budgets, including:
    • Purchase orders (POs)
    • Invoice submission and approval status
    • Vendor spend tracking
  • Monitor and surface alerts and reminders related to:
    • Budget thresholds
    • Pending approvals
    • Training and compliance due dates
  • Create and maintain dashboards, trackers, and reports to provide clear operational visibility.
  • Partner with Business Program, Finance, and vendor teams to ensure data accuracy and timely follow-ups.


Meetings, Events & Operating Cadence Management
  • Maintain a forward-looking view of all key team events and milestones, including:
    • Offsites, Town Halls, culture meetings, connects, and talent management sessions
    • Training due dates and compliance milestones
    • Other recurring or ad-hoc team events
  • Build and maintain workback plans for events, including timelines, ownership, and content readiness.
  • Track preparation status and proactively flag risks, gaps, or upcoming deadlines.
  • Ensure leaders and partners have clear visibility into what is upcoming and what is required.

New Employee Onboarding & Enablement
  • Support new employee onboarding by:
    • Maintaining and updating the team SharePoint site
    • Managing onboarding content, links, and reference materials
    • Ensuring new hires have access to relevant tools, documentation, and team information
  • Continuously improve onboarding materials to ensure a smooth and consistent new-hire experience.


Required Qualifications
  • Knowledge of MSFT PO, Invoice tools (Including ProcureWeb)
  • Strong Excel skills, including data analysis, formulas, and structured reporting.
  • Experience using Power BI or similar reporting/analytics tools.
  • Experience in AI-enabled workflows (e.g., automation, agents).
  • Familiarity with Microsoft 365 tools (SharePoint, Teams, Planner).
  • Exposure to project management concepts (workbacks, milestones, owners).
  • Experience working with vendors or finance approval processes.
  • Clear written and verbal communication skills.
  • High attention to detail and commitment to accuracy.
