Description:

Your opportunity:

Working under the direction of the Registrar and Assistant Dean, Strategic Enrolment Management, you will be responsible for the overall financial and administrative functions of the Office of the Registrar so that campus enrolment goals and service excellence can be properly supported. By monitoring budgets, preparing forecasts, processing transactions, and overseeing the general financial function of the office, you will help to ensure that the Office of the Registrar is meeting its financial responsibilities. You will also provide personnel administrative support by coordinating, monitoring and tracking confidential employee information (payroll, contracts, etc.) and initiate onboarding activities (equipment, system and space access, general office procedures, etc.). The Business Officer and Office Administrator will work with the Registrar to coordinate departmental needs with respect to space, physical access, security, repairs, renovations, storage, facilities management and information technology (IT). Additionally, you will supervise the Financial and Administrative Assistant to ensure administrative support to the Registrar and support for the administrative operations of the office.

Your responsibilities will include:

  • Forecasting, planning and monitoring multiple complex budgets
  • Analyzing financial trends and preparing analytical reports and forecasts for management decision making
  • Applying the generally accepted accounting principles to all financial tasks and reconciling accounts
  • Handling sensitive and/or confidential information
  • Processing accounts receivable and preparing payroll records for processing according to the University Guide to Financial Management
  • Acting as the first point of contact for general enquiries and troubleshooting and resolving routine issues
  • Developing and maintaining procedures for the use of space and equipment and maintaining office equipment and supply inventory
  • Providing orientation to others on work procedures and practices


Essential Qualifications:

  • Bachelor's Degree in business, with a specialization in finance or accounting and working towards a professional accounting designation or equivalent combination of education and experience.
  • Minimum five (5) years of financial and administrative management experience, including experience with budget preparation and maintenance, forecasting, and analysis, monthly statement reconciliation, financial reporting/reports generation and project management.
  • Demonstrated experience analyzing data, developing recommendations, writing reports and managing systems.
  • Experience preparing and processing payroll related activities.
  • Must have well-developed accounting, budgeting, forecasting, financial and administrative management skills.
  • Demonstrated experience planning and overseeing short and long range activities that support financial administration.
  • Demonstrated experience producing complex statistical and/or financial reports.
  • Effective interpersonal and communication skills (written and verbal), problem solving and organizational skills.
  • Ability to demonstrate integrity, professionalism, sound judgement and tact and confidentiality.
  • Experience with SAP Administrative Management Systems (e.g., FIS, HRIS).
  • Strong computer skills with experience in Microsoft Word, Outlook, Excel, PowerPoint, and SharePoint.
  • Must have excellent customer service, organizational and planning skills, and attention to detail.
