Role Overview

The Business Initiatives & Planning Manager will perform all Fund Level AML work for new fund launches or changes to Fund level structures; project manage various projects this may include transitioning a newly onboarded client into day-to- day service delivery within the Account Management team; manage the Change Management process for all changes impacting the Account Management operating model or processes; maintain the Account Management Sharepoint site and all knowledge documentation and support the ongoing governance reporting for management.

This is a multi faceted role which requires an operational background coupled with a business analysis and project management skill set to ultimately deliver a superior level of service to the team and our clients. The incumbent will work closely in collaboration with the Business Development & Relationship Management team, Account Management team, Business Operations, Business Solutions & Change Management and Compliance.

Role Responsibilities

Fund AML due diligence:
  • Create the KYC/AML record in the system sourcing information from internal and external sources by the agreed deadline.
  • Proactively interact with the Business Solutions and Change Management Team, Onboarding, Account
  • Management, Compliance and State Street to update the system with information through the AML onboarding lifecycle through to approval of KYC/AML record
  • Perform due diligence on client and account documentation and information through internal and external sources (Regulatory websites, Company website, Clarient, etc.)
  • Review and validate the information within the system to ensure completeness and accuracy.
  • Responsible for ensuring KYC/AML record is completed in compliance with corporate AML policies, business unit standard operating procedures and industry best practice to meet IFDS regulatory requirements.
  • Maintain client and account KYC/AML record; perform periodic review, event driven reviews, monitoring and analysis as required.
  • Reconcile records between vendor and IFDS, escalate discrepancies and missing information as required.
  • Meet agreed targets for KYC/AML record review and completion within agreed timeframes working with the
  • Account Management team and escalating risks/ issues as required.

Project Management

  • Support the Account Management team in coordinating the organization of project activities (e.g. client initiatives; yearend tax project; new client onboarding transitions into day-to-day delivery support)
  • Transition newly onboarded clients into the Account Management team by project managing any remaining/ unresolved issues following initial onboarding or conversion.
  • Work closely with Business Operations and the Business Readiness Project Manager on collaborative initiatives / client onboardings.
  • Successfully manage a number of projects simultaneously
  • Act as a liaison between the Account Manager, IT and business
  • Coordinate all aspects of project delivery including defining project scope, specifying deliverables, estimating project duration, effort and creating detailed project plans.
  • Ensure project success by driving day-to-day account management through the application of sound project management principles and methodologies
  • Maintain a detailed status, activities and issues reports on each project to support the Account Manager in presenting to stakeholders as required.

Documentation & Reporting
  • Creation, maintenance and governance of the client monthly service reports
  • Creation, maintenance and delivery of key Service Now monthly and quarterly Dashboard reports for Account
  • Management governance which includes ongoing enhancements and optimization of existing reports while collaborating with internal stakeholders and technical teams
  • Maintenance and delivery of the Account Management Business Contingency Plan and Contact List
  • Ensure day-to-day administration of the Account Management SharePoint ROCK site - Content Library, Account management, content updates, automated reporting, and system troubleshooting
  • Maintain various Product Guides; playbooks; task lists for Account Management on SharePoint ROCK site (obtaining information from internal stakeholders)
  • Ensure documentation and reports meet Account Management expectations while presented in a clear, concise manner based on audience
  • Promote and encourage team participation and usage of the Account Management SharePoint ROCK site by facilitating the maintenance and development of the Account Management team site.
  • Work, collaborate and communicate effectively with senior management and stakeholders as required.

Change Management:
  • Manage the Account Management Change Management process and Committee.
  • Build Change Management tracking mechanism on the Account Management SharePoint ROCK site.
  • Track life cycle of changes impacting the operating model of the Account Management team.
  • Facilitates and leads various internal meetings (virtually and / or in person) as it relates to the change and may participate in all key reoccurring meetings until completion.

Minimum Qualifications
  • Solid technical knowledge of SharePoint administration.
  • Knowledge of financial mutual fund record keeping systems and Transfer Agency Operations
  • Project management and analytical skills, with strong attention to detail and flexibility to handle multiple projects and changing priorities.
  • Exhibit excellent organizational and prioritization skills
  • Experience working with IFDS tools and stakeholders (understands the full picture)
  • Demonstrated proficiency in communicating business solutions with clients & internal stakeholders.
  • Strong Change Management capability (ADKAR)
  • Highly analytical with a high degree of attention to detail
  • High level of competency with MS suite, including but not limited to, Excel, Visio, Word, PowerPoint.
  • Strong research / information gathering / analytical and problem-solving skills - takes a logical approach to analyzing problems. Systematically researches information and explores alternatives to solve problems.
  • Ability to work in a fast paced, multi client environment using effective organization and prioritization skills.
  • Ability to compose presentations and deliver to internal/external stakeholders.
  • Ability to engage internal stakeholders across several different functional areas.
  • Ability to manage indirect reports in a virtual team setting.
  • High degree of personal resourcefulness and sense of commitment
  • Positive vibrant attitude; enthusiastic and proactive approach with meticulous attention to detail
  • Post-secondary education
  • Minimum 7 years plus experience in the financial service industry in a client facing, service delivery or
  • Operational capacity.

Salary Range

Pay Range (CAD $): 92,000 - 117,000

The above reflects an industry-benchmarked target compensation range. The salary offered may vary based upon the candidate's skills and experience, job-related knowledge, and other specific business needs.
