Join Our Team as a Bilingual Benefits Specialist at Epiroc!The Bilingual Benefits Specialist is a key contributor to the Benefits team, responsible for ensuring the accuracy, compliance, and operational efficiency of benefits-related processes across Canada. This role does not include direct people management, but instead focuses on process ownership, cross-functional collaboration, and subject matter expertise. The Senior Benefits Specialist will play a critical role in managing benefits billing, coordinating with Finance, supporting retirement plan administration, and serving as a point of contact for employees and vendors to resolve complex benefits issues. This person will also take the lead on employee communications that promote understanding and utilization of our benefits programs, including rollouts of vendor solutions. As the function evolves, the role may also support the coordination of leave of absence and disability management programs, including employee support, vendor coordination, and return-to-work administration.

Responsibilities:Benefits Administration• Administer Canadian benefits programs, including enrollments, changes, terminations, and life event updates.
• Ensure benefits transactions are processed accurately and within established service standards.
• Maintain employee benefits records and support data integrity across HRIS, payroll, and vendor systems.
• Monitor employee eligibility and ensure timely access to benefits programs.
Employee Support• Serve as the primary point of contact for employee benefits inquiries.
• Provide guidance on benefit plans, coverage options, claims, and retirement programs.
• Investigate and resolve benefits-related issues in partnership with vendors and internal stakeholders.
• Deliver a high level of customer service to support a positive employee experience.
Vendor & Benefits Plan Management• Coordinate with carriers, retirement providers, and third-party administrators to support benefits delivery.
• Manage escalated issues and ensure timely resolution of employee and vendor concerns.
• Support the implementation of benefit plan changes and new programs.
• Maintain strong working relationships with external partners and service providers.
Billing, Reconciliation & Reporting• Reconcile monthly benefits invoices against enrollment and payroll records.
• Investigate and resolve discrepancies with vendors, Payroll, and Finance.
• Prepare and validate benefits reports for HR, Finance, and compliance purposes.
• Support accurate benefits cost allocation and reporting processes.
Retirement Program Administration• Support pension, RRSP and other retirement savings programs.
• Coordinate employee enrollments, contribution changes, and retirement-related communications.
• Assist with retirement plan reporting, audits, and compliance activities.
Compliance & Data Integrity• Ensure benefits administration activities comply with applicable federal and provincial legislation, company policies, and regulatory requirements.
• Support audits, compliance reviews, and documentation requirements.
• Monitor data quality and proactively identify and correct discrepancies.
• Maintain and update benefits procedures, guidelines, and process documentation.
Communications & Continuous Improvement• Develop and distribute employee communications, educational materials, and enrollment resources.
• Support annual enrollment and benefits awareness campaigns.
• Identify opportunities to improve processes, controls, efficiency, and the employee experience.
• Participate in system enhancements, testing activities, and special projects as required.
Knowledge/Education:- 3-5 years of experience in Canadian benefits administration.
- Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent experience.
- Certified Employee Benefits Specialist (CEBS) designation, or progress toward completion, is preferred.
Skills and Abilities:- Strong knowledge of Canadian group benefits, retirement programs, and applicable legislation.
- Experience with HRIS systems and Microsoft Excel; Dayforce experience is an asset.
- Strong analytical, organizational, and problem-solving skills.
- Excellent communication and customer service skills.
- Bilingual proficiency in English and French is required.
